Job Requisition Number: 23863. Residential and Student Service Programs (RSSP), as part of the Division of Student Affairs, supports the long-held tradition at the University of California, Berkeley of teaching, research, and public service excellence. RSSP is one of the largest clusters at UC Berkeley and includes such departments as Cal 1 Card, Early Childhood Education Program, Cal Dining, and Conference Services. Within RSSP, Cal 1 Card is a critical department that provides the official photo ID card for the entire UC Berkeley campus community (i.e. students, employees, and affiliates). This multi-purpose photo ID card combines multiple card technologies. In addition to serving as a photo ID card, this card will also permit clients to gain access to Campus buildings and events and allow eligible cohorts to take advantage of applicable University benefits and services. When funds are added to an account, this multi-purpose photo ID card becomes a debit card that can be used to make purchases at participating merchant / dining locations on and around the campus.
The automatic conversion to career status, as provided in Section B.2. above will not occur when one or more of the following occur: a. A limited appointee is hired to replace an employee on leave that exceeds 1000 hours. If the employee on leave does not return from leave, the limited appointee shall be converted to career retroactive to the first of the month following attainment of 1000 hours; except that nothing in this subparagraph precludes the University from releasing the limited appointee prior to the anticipated return date of the employee on leave.
Under the general supervision of the C1C Operations Manager, the Limited Leave Replacement Operations Specialist will be responsible for the following:
Cal 1 Card Operations Administration •Oversee the Cal 1 Card Photo ID production / issuance process •Produce / issue Cal 1 Card photo IDs as needed during peak production periods and/or staffing shortages •Oversee Tier 1 CalNet support services •Provide Tier 1 CalNet support services as needed during peak production periods and/or staffing shortages •Liaise with SAIT and IST staff for issues requiring their intervention •Create / revise corresponding procedures as needed •Oversee MOU agreement document management and related billing / reporting •Act as the second level of escalation in problem identification / resolution •Provide clear, effective, and timely responses to in person, phone, and email inquiries from the campus community and the public about the Cal 1 Card program •Sort and answer Departmental email, and redirect as appropriate •Escalate issues to Operations Manager as needed
General Office Administration •Create and/or transcribe documents, spreadsheets, and presentations as directed by Operations Manager •Develop internal forms for program use (e.g. student billing summary) •Manage, update, and maintain a comprehensive office filing system •Ensure timely submittal of debit reimbursement requests for processing •Anticipate purchasing cycles to ensure adequate inventory of cardstock, Datacard printer supplies, and general office materials throughout the year •Provide administrative support for use of the assigned campus purchasing card •Manage office key issuance / recovery and office alarm code activations / deactivations •Assist Operations Manager with compiling data for reports as requested
Personnel Processes •Coordinate timely pre-employment process for all new hires (e.g. background check, hiring ticket submittal and approvals, etc.) •Coordinate most aspects of Student Assistant hiring and training process (e.g. work-study referrals, appropriate clearances, hiring tickets, required training, etc.) •Coordinate Student Assistant staffing support (e.g. recruitment listings, work study renewals, etc.) •Resolve routine personnel issues based on prior knowledge and accurate interpretation of established policies and procedures •Compile and regularly update departmental files / documents (e.g. department personnel certifications, on-site files, emergency contacts, office key log, etc.) and distribute documents / files as requested.
Other Duties •Provide back up to other administrative staff as assigned •Perform regular review of Cal 1 Card website content along with other web-sites referencing Cal1 Card policies / services to ensure content accuracy and take action to correct /update inaccurate information•Demonstrated ability to apply University policies and governmental regulations to daily operations of an operation responsible for legally defined sensitive data •Familiarity with the skills needed to direct selection, hiring, and evaluation and discipline of student and limited staff. Interpersonal skills to effectively motivate others •Strong skills in problem-solving and customer service to effectively manage multiple priorities •Solid knowledge of common campus-specific and other computer application programs; technical ability to act as liaison with SAIT staff who develop and support card technology systems and associated office tools •Writing skills to draft and maintain agreements between university departments and between the university and outside business entities •Solid interpersonal communication skills to include verbal and written, active listening, critical thinking, and persuasiveness •Solid skills to quickly evaluate issues and identify resolution
