This is a full-time position which provides administrative and secretarial support for the Security department. Responsible to serve as Card Access administrator. This position supports the mission and goals of the Director of Security by managing the administrative responsibilities of the department in a professional, confidential and efficient manner both independently and as a member of the Security team.
Administer the Card Access Keyscan System to enable building access for residents, administrators, faculty, and staff; activate/deactivate cards as required, such as, at beginning and end of semesters, summer programs, university events, guests in residence halls, lost/damaged cards; troubleshoot various problems that arise with Card Access Keyscan System; communicate and work with service contractors. Program all card access elevators/ buildings/rooms for opening and closing times. Run the daily security scan of the card access system for the Director/Chief of Security.
Administer the preparation of payroll records for submission to Payroll Department; manage Security records in ADP Payroll e-TIME System for recording hours worked, vacation, sick and personal time taken; make notations in system for lateness, overtime/extra hours worked and reason; prepare employee Time and Attendance Exceptions Request Form for any manual adjustments made to employee record; track, calculate and report additional pay due for premium pay, holiday bonus, and shift leader premium as appropriate; track and administer employee time off and advise of same; communicate with Payroll Manager, Benefits Specialist, and Security Officers as needed. Run ADP reports for Chief of Security (Time Card Reports and Department Detail Report).
Maintain department budget and expenditure records; reconcile budget; prepare monthly reports for Director of Security; order and pay invoices with American Express Card and prepare detail monthly report for Finance Department .
Prepare weekly schedules for the department listing officers work schedules and time off. Prepare Open Shift form.
Serve as main telephone and office contact for the department; provide information as needed.
Act as liaison within the department and other campus offices.
Maintain supply inventory, order supplies as needed for the department, prepare purchase order requests and check requisitions.
Generates work orders and follows up on maintenance and repairs to the building; maintains records of service contracts for the various office systems.
Using the EMS system reserve rooms, order refreshments for various department meetings.
Prepare and type correspondence, forms, spreadsheets and charts for the department.
Prepare PowerPoint presentations and flyers for programs and presentations by the Director/Chief of Security.
Organize and maintain correspondence and files for the department.
Assist in recruitment process of security officers by scheduling interviews, conducting reference checks, processing paperwork connected with interviewing and hiring for the department, and communicating with Human Resources. Enter information regarding these searches into Interview Exchange. Notify applicants of decisions.
Develop administrative procedures for the Security Office to improve workflow.

Perform other duties as assigned by the Director/Chief of Security.
High School diploma required.
Minimum 3 years demonstrated administrative office experience, including secretarial skills, such as phones, correspondence, mailings, scheduling, filing, use of office machines, etc.
Previous experience in parking administration and card access system required.
Excellent interpersonal and communication skills, both verbal and written.
Strong computer skills, including MS office (Word, Excel, Access, PowerPoint) and e-mail; aptitude for learning new software.
Proficiency in and working knowledge of Keyscan, and ADP e-TIME .
Detail-oriented and organized with ability to handle multiple tasks simultaneously in a fast-paced environment with accuracy.
