Business & Finance is an internal unit within UW Information Technology. It is focused on providing critical business, financial, and logistical support services to the various divisions within UW Information Technology, including:
Resource planning and budgeting
Financial reporting and analysis
Management reporting, cost center accounting and rate development
Asset and inventory management
Logistical support activities
The UW-IT Business & Finance Accounting and Operations Team has responsibility for both UW-IT-wide and institution-wide financial activities including producing invoices to the campus departments to recover the usage or rental cost of the equipment and services. Customers include entire UW Seattle, Bothell, Tacoma campuses, K-20 Network participants, Pacific Northwest Gigapop Co., and KEXP.
Monitors UW Connect requests and determines the correct action required for assigned requests
Reviews submitted purchase requests for accuracy. Revises or returns purchase requests as necessary to requestor for corrections. Requests additional information or documentation to support requests.
Place orders using Ariba or Pro-card in support of all of UW-IT, where the annual spend for goods and services is approximately $40M, represented by roughly 4000 tactical purchasing orders through POs, BPO's and Pro-Card orders.
Ensures that assigned purchases are in adherence to UW and WA procurement policies including purchasing authority and signing authority.
Perform monthly reconciliation of the Pro-card transactions and ensure that supporting documents are filed and maintained.
Provide Ariba assistance to internal users when required. Provide general procurement assistance to internal users and provide guidance on existing procurement policy when necessary.
Collaborate with internal customers to ensure that the items requested will meet their intended applications for use. Research alternatives items and source of supply, if needed. Obtain/validate pricing from contractor/supplier: by phone, email, or on-line.
Maintains required documentation, files and records. Documents may include transaction receipts, packing slips, shipping records, and other transactional documentation.
Assists with performing inventory cycle counts. Maintains and updates asset information in appropriate databases. Develop reports on inventory activity.
Act as UW-IT representative to the Equipment Inventory Office (EIO) and apply new tags to the items received in warehouse with the appropriate asset tag, and the databases are updated with relevant information such as serial number, asset tag number, item description and purchasing information.
Processes Surplus items for disposition, including completion and submission of forms required by UW Surplus. Coordinates the logistics of surplus equipment to UW Surplus facility.
Identify and recommend methods of improving current procedures, processes, and applications. Ability to create, edit, and maintain the department's wiki page.
Performs shipping and receiving functions in warehousing operations as needed.
Perform related duties as assigned.
High school graduate or equivalent AND two years of full-time Inventory Control and/or Asset Management and/or Warehouse Logistics.
Demonstrated outstanding written, oral and interpersonal skills. Customer service and task oriented.
Advanced computer skills including proficient use of the Microsoft Office suite.
Must be able to identify and distinguish typical networking equipment for accuracy in asset tagging.
Ability to work in a fast-paced, high demand environment with the ability to prioritize work functions.
Have a Washington State driver's license and pass the University vehicle driving training.
Exceptional work ethic, self-motivated, and a team player with demonstrated dependability and an excellent record of attendance.
Demonstrated ability to carry out the internal control activities set forth by University of Washington policies and B&F management.
Demonstrated ability to produce accurate and professionally presented work.
Understanding of accounting processes.
Ability to solve problems independently and process information quickly.
Demonstrated ability to work effectively in a team environment as well as individually.
Strong communication skills, organizational skills, outstanding customer service, follow-through, and efficiency in all work tasks.
Proficiency in writing procedures and in preparing professional correspondence for internal and external recipients. Ability to create, edit, and maintain the department's wiki page.
Familiarity with University systems such as Ariba, FORTUNE, OASIS, PROCARD, CTA, EDW, YMIR and PUMA.
Experience working in a higher education setting.
CONDITIONS OF EMPLOYMENT:
Appointment to this position is contingent upon obtaining satisfactory results from a criminal background check.
Must be able to lift and carry equipment and peripheral equipment items (i.e. cables, carts, etc.) weighing up to 35 pounds
