Our Procurement Services Department has an outstanding opportunity for a Reconciliation Specialist.
The Reconciliation Specialist will create, document and maintain Accounts Payable payment processes, ensuring UW suppliers are paid accurately and on time while maintaining the appropriate controls.
Reporting to the Procurement Services Manager of Accounts Payable, the Reconciliation Specialist will contribute to the Procurement Services Culture of Service, focused on delivering value for others inside and outside the organization and across the University through customer service, operational effectiveness and employee satisfaction.
Create and maintain process for invoice payment using Ariba.
Determine requirements by working with Accounts Payable Staff, Procurement Customer Service, Procurement Buying Staff, Ariba Manager and customers.
- Resolve invoice discrepancy using UW purchasing and Accounts Payable process and procedures
- Review and reconcile foreign invoices and ensure appropriate tax forms are completed
- Monitor invoice aging
Create and document overall design of payment process including discrepancy resolution process and controls.
Manage and resolve invoice discrepancy and maintain process for invoice payment in Ariba.
- Train Accounts Payable and Procurement Customer Service staff in the new processes.
- Manage AP lean metrics board
- Process wire payments to foreign suppliers
- Cancel and reissue supplier payments as needed
- Review, approve, and audit reimbursement and payment to individuals' payment requests
- Coordinate with buyers to amend contract or blanket purchase orders to facilitate payment through Ariba.
- Provide ongoing high level analysis of sales tax paid to suppliers
- Collaborate with buyers and AP staff, sharing sales tax knowledge.
Create and manage process to coordinate supplier files from PAS, Ariba and 1099-selected suppliers.
Create process to coordinate with suppliers to bill through the network, eliminating paper invoicing. Train suppliers in the process.
Work with Procurement Services IT to create reports, e.g. duplicate payment reports. payments made outside of Ariba and PAS such as wire payments.
Create, implement, and maintain process to audit high risk payments and duplicate payments.
Bachelor's degree and three years of experience in an accounting-related field. Demonstrated knowledge of accounting principles, specifically internal controls for accounts payable. Experience making presentations and delivering training. Demonstrated proficiency using presentation, spreadsheet and work processing applications. Excellent oral and written communication skills. Demonstrated attention to detail and consistent accuracy of work.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
Desired: Experience with Accounts Payable.
