Position Summary: We have an exciting opportunity to join our team as a Secretary II.
In this role, the successful candidate Responsible for performing secretarial studies that are complex in nature and require considerable judgment
Greets and directs visitors presenting to the office. Answers phones in a professional manner, fields calls by taking concise messages and or transferring caller to the appropriate party. Maintains control of the front office. Forwards pertinent information received via email or by phone to the appropriate member of the management team.
Collects, sorts and files all in-coming paperwork into appropriate administrative, operational or employee files. Distributes out-going paperwork (mail) to the appropriate hospital locations.
As required, provides BSD employee attendance and seniority reports to the management staff. Creates job postings, posts, collects and sort signatures by date of hire.
Collects and compiles data, statistics, and other materials for reports and/or budgets.
Draft memorandums as request of management, submits for review and approval and then sends out to the intended receiver. In instances where required, tracks certified mail/correspondence.
Sends out calendar invites and schedules conference rooms when required to plan for upcoming meetings. If required, has the ability to create agendas, takes meeting minutes and maintains attendance. May be tasked with setting up training classes requiring scheduling of work force, meeting rooms, and tracking attendance history. Maintains training tool tracker; sign-in sheets, tests, quizzes, and attendance history. Maintains the planning of annual in-services, scheduling and sign-in sheets, to include scheduling of employee annual physicals with employee health services.
Maintains web repository of BSD policies and procedures. Responsible to send out policies monthly for management review/changes.
Orders and receives office supplies and assists in the payroll readiness and handout process. Distributes paychecks to BSD staff, collects signatures and maintain.
May be required to monitor relevant systems for patient transport and bed cleaning.
Creates posting for vacant/open positions, posts, removes and sorts by date of hire.
Performs other duties as assigned.
Minimum Qualifications: To qualify you must have a High School graduate required or the equivalent combination of education and experience in a related field. Minimum of three years of responsible secretarial experience. Typing (60 wpm) and steno (80 wpm) or dictaphone required. Knowledge of medical terminology and/or word processing as needed. Good communication skills
Preferred Qualifications: Prior experience working in a healthcare setting and skills in spreadsheet creation, email applications, MS Word and Power Point, as well as have excellent oral and written communications skills.
Qualified candidates must be able to effectively communicate with all levels of the organization.
