We have an exciting opportunity to join our team as a Secretary II in the Case Management Department. To qualify an Associates Degree plus two (2) years related experience or an equivalent combination of education and experience required. Knowledge of computer systems, word processing, database and spreadsheets. Excellent communication and interpersonal skills required.
In this role, the successful candidate will be responsible for responsible for providing administrative support and assisting the Supervisor and staff in a clinical department. Ensures adequate levels of supplies are available on an ongoing basis. Effectively monitors patient arrival process for services. Answers patients questions to ensure understanding and patient satisfaction. Schedules and coordinates appointments for patient visits, and management staff. Performs a variety of duties in support of service operations. Qualified candidates must be able to effectively communicate with all levels of the organization.
Performs other related duties as needed and or assigned by providers and supervisors.
Orders and maintains inventory of office supplies. Ensures adequate levels of supplies are available on an ongoing basis. Sets up and maintains files and complex records of departmental and program activities. Maintains records in up-to-date manner. Maintains information for department in accordance with departmental, Medical Center, Federal, State and City Agency regulations.
Maintains and receives files for area. Maintains files in organized and up-to-date manner in order to facilitate their retrieval. Completes filing in accordance with departmental procedures. Sorts and distributes documents and forms for area section. Distributes materials according to content of communications and departmental procedures. Logs in materials with respect to time and data when applicable. Processes incoming and outgoing documents. Completes forms neatly. Secures appropriate signatures and forwards documents/forms to correct destination based on pertinent Medical Center procedures. Maintains copy for files. Faxes documents in accordance with departmental procedures.
Answers patient questions to ensure understanding and patient satisfaction, or refers them to more senior level staff. Maintains confidentiality on matters to which they are privileged. Refers patients to proper individuals for questions regarding insurance coverage or necessary counsel on financial matters.
Types complex material using word processor. Types materials neatly and accurately. Types complex materialswithin time or deadline specified. Proofreads, edits, properly organizes and formats the typewritten materials. Uses the word processor efficiently; make suggestions to the supervisor for software/ hardware enhancements.
Effectively monitors patient arrival process for services. Gathers all patient demographic related information and materials from referring office, patients and/or their representatives; inputs necessary information into electronic health record. Follow up with patients and/or their representatives, physician offices, etc to gather missing data and materials in order to complete the intake process, or refers to more senior level staff. Maintains cooperative and professional relationships with physicians, nurses, office and clinical staff.
Schedules and coordinates appointments for patient visits and procedures using scheduling guidelines, as instructed or customary for services. Prepares the daily patient schedule and communicates any pertinent information or changes effectively with administration, nursing or other clinical resources. Provides phone and scheduling coverage for all services as needed.
Performs variety of duties in support of service operations. Provides reception assistance (ie: greets patients, answers calls, handling or properly directing requests for assistance). Screens telephone callers in pleasant and professional manner; handles call, takes messages or directs caller to appropriate person or area. Responds to the needs and requests of staff, patients and general public for department and communicates any problems to supervisor for resolution. Identifies department and self when answering the phone. Resolves routinely moderate problems in accordance with departmental and/or Medical Center policies and procedures; handles problem situations and difficult people in professional, courteous, tactful, manner.
