The Office of Student Services in CLA provides outstanding service to students and the RIT community. Primary functions of the office include admissions counseling, transfer credit evaluation, academic advising, course scheduling, coordination of CLA student events, and resource referral.
Detailed Job Description
The Associate Director of Student Services position will manage the office support staff, student employees, and co-op students. This position is responsible for managing academic processes and operations in support of course scheduling and academic advising. In addition, this position will also play a key role in implementing new procedures or systems in these same areas. This position works with staff members in the College to ensure that key academic and student events are successfully coordinated.
This position also serves as the primary resource in Student Services for questions and requests related to PeopleSoft queries and data reports; PeopleSoft access/training; and graduate students in the College of Liberal Arts.
Manage office operations including the work of the Scheduling Office, Records and Events Coordinator, front office administrative team, co-op students and student workers. This includes hiring, training, supervising, and mentoring personnel in these same areas.
Provide oversight of the entire office in the absence of the Assistant Dean.
Manage academic processes including final grade submission, academic action notifications, degree certifications, minor certifications, and academic records. Serve as the first point of contact for policy and procedure questions.
Serve as ex-officio member of the College Curriculum Committee and manage the CLA course catalog in PeopleSoft.
Work with Deans and departments to plan for CLA course needs and develop CLA annual course schedule.
Oversee work of the Scheduling Officer including: adjunct hiring process; scheduling and rooming approximately 600 class sections per semester; monitoring change requests, troubleshooting issues and faculty concerns.
Coordinate annual updates to the Undergraduate and Graduate Bulletins, including all CLA majors, minors, and immersions.
Serve as the primary CLA PeopleSoft/SIS expert level user; able to answer questions, troubleshoot and correct problems in conjunction with the Registrar's Office, and train those who need further training.
Serve as college lead on several ongoing and upcoming projects with the Registrar's Office, including but not limited to new forms, calendar revisions, degree audit, and transfer credit.
Produce and analyze approximately 15-20 in-depth statistical reports to support the operations of the office and College of Liberal Arts.
Other duties as assigned.
Required Minimum Qualifications
Education: Master's degree required.
5-7 years of experience in higher education with increasing management responsibilities.
Must be analytical; independent problem-solver; strong people skills, including ability to motivate teams; strong communication skills, including oral and written; advanced Excel skills; and intermediate to advanced PeopleSoft skills.
Required Minimum Education Level
Prior experience in Academic Affairs preferred.
