Pay is: $11.33 per hour M-F 8-5 The Administrative Assistant will provide high-level administrative support by conducting research, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Plan, direct, or coordinate supportive services of the university, such as recordkeeping, mail distribution, telephone operator/receptionist, and other office support services. Duties may include responsibilities for maintaining and publishing monthly calendars, screening incoming calls and correspondence and responding independently when possible. Organizing programs, events, meetings or conferences by arranging facilities and caterers, issuing information or invitations, and coordinating speakers. Prepares agendas, notices, minutes and resolutions for corporate meetings. Takes and transcribes dictation and composes and prepares confidential correspondence, reports and other complex documents. Performs complex and confidential secretarial functions including developing and typing taped dictation or written correspondence. Responds to routine external correspondence. Types memos, purchase requisitions, payment requests and other department forms and documents. Creates and maintains database and spreadsheet files. Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings for all branches. Maintains confidentiality of all corporate, personnel and research matters.
Qualifications The successful candidate must have a High School Diploma or equivalent with a minimum of two years work experience in an administrative support role. Experience working in higher education preferred. Computer proficiency in various software applications to include Microsoft Office Suite and Outlook. Ability to use Banner, Publisher, InfoPath, Access or SAP a plus. Must have excellent phone etiquette, verbal communication skills and be able to work in a fast paced-demanding environment. Must be able to work with minimum supervision, be customer service driven, and able to multi-task.
