Position Summary: We have an exciting opportunity to join our team as a Departmental Secretary.
In this role, the successful candidate provides general and specialized administrative support for area; prepares a variety of pharmacy documents and materials including reports and timekeeping analysis. Responds to staff payroll inquiries. Assists customers and Pharmacists with inquiries; answers telephone. Assists in maintaining communication within the Pharmacy organization and with other individuals and departments.
Coordinates daily office operations, within guidelines. Provides a wide range of general and specialized administrative support for area; prepares, composes and edits a variety of pharmacy office documents and materials, routine and non-routine correspondence, memoranda, spreadsheets, requisitions, reports,summaries, etc. Verifies information against existing records; identifies and investigates potential problems and alerts supervisor to discrepancies.
Assists Pharmacists with customer inquiries; answers telephone, informs callers of standard procedures and Medical Center policy.
Facilitates customer satisfaction while adhering to department policies.
Prepares a draft of Pharmacist and Pharmacy Technician schedules for review and finalization by management personnel.
Maintains, prepares, and processes payroll for the department.
Tracks and maintains time and attendance records for all employees within the department
Orders and maintains an inventory of supplies for the department.
Composes, prepares, and edits general correspondence.
Ensures work areas are orderly, clean, and safe.
Performs other duties as assigned.
Minimum Qualifications: To qualify you must have a High School Diploma or the equivalent. Minimum of three years experience in a pharmacy, clinical or healthcare setting or equivalent combination of education and experience. Proficiency in word processing, spreadsheets, databases and department specific applications using moderate, accurate keyboarding skills. Excellent customer service, communication, interpersonal and organizational skills required. Familiarity with MS Office software.
Preferred Qualifications: Associate's Degree plus four years of experience in a pharmacy.
Qualified candidates must be able to effectively communicate with all levels of the organization.
