Essential Duties and Responsibilities:
Essential Job Functions include the following (covers major components of the job: Admin. Support to the Dean of the College; Confidentiality and Professionalism critical; maintaining files and records; meetings; events (i.e., supporting signature events and leading/developing the annual Walker College of Business (WCOB) staff retreat; communications (written and oral); budget related items connected to position management; and teamwork supporting initiatives that promote member excellence:
Provide administrative support to the Dean of the Walker College of Business; manage Dean's calendar and screen visitors, calls and mail. Serve as a liaison with students, parents, business/government leaders and officials within/outside NC, the general public, and university staff, faculty and administrators. Manage and supervise the reception area staff and provide leadership and direction for Dean's office.
Maintain personnel files and process faculty related documents and procedures according to ASU/UNC policy and AACSB and SACS requirements.
Independently plan, schedule, and develop all agendas and documentation for the Executive Committee, Strategic Planning Committee, retreats, New Faculty Orientation, Faculty and Staff Meetings, Business Advisory Council and others meetings as requested by the Dean.
Assist and provide guidance for all WCOB special events such as Business Connections, Boyles Lecture, Scholarship Reception, Sywassink Day of Excellence, Global Opportunities Conference, Business for Good and other events as needed. Provide team-building opportunities (i.e., lead the Walker Impact Network (WIN) group in planning and executing the annual WCOB staff retreat, as well as, helping to coordinate other professional development and engagement opportunities for members in order to preserve excellence).
Initiate and compose letters and acknowledgments; draft letters of invitation and other necessary communications while maintaining the highest level of confidentiality with all communications, create the scripts for public events as well as research biographical and other relevant information as it relates to introductions and acknowledgments. Work closely with the WCOB Development Officer to develop reports, schedule development visits, draft letters, and correspondences.
Communicate (written and oral) appropriately with University and system-level administrative offices and state administrators, donors, students and elected officials. Work closely with the WCOB Communication Team to ensure uniformity and coordination of all Dean's Office communications.
Responsible for Position Management and processing Dean's Requisitions; payroll processing; manage and process the WCOB Development Officer's budget; plan, prepare and reconcile travel authorizations and reimbursements for Dean's travel as well as the WCOB Development officer related travel.
At least 3-5 years' experience in providing administrative support to upper-level administration in a University setting
Working knowledge of Microsoft office suite (Word and Excel), Banner, and AsULearn
