The Childrenâs Access Center provides personalized services that include a seamless patient transfer process, management of patient placements and interface with dispatching processes for patient transport and environmental services.
This role consists of coordinating efficient and timely transfer and/or placement of patients based on specific medical condition, patient care unit criteria, and bed availability. Communicate transfer, admission and other pertinent information with patient care unit(s) staff, faculty, and other facilities, staff, and physicians.
High School and 3 years of relevant experience
Hospital Patient Flow experience
Bed management experience a plus

JOB SUMMARY: Coordinate efficient and timely transfer and/or placement of patients based on specific medical condition, patient care unit criteria, and bed availability. Communicate transfer, admission and other pertinent information with patient care unit(s) staff, faculty, and other facilities, staff, and physicians.
Assign all beds (surgery, medicine, pediatric) within the hospital in collaboration with the patient care units.
Make decision based on each patient care unit criteria and the availability of beds
Complete demographic and insurance information per the guidelines required by the Admitting Department
Admit patients (Medipac) to appropriate status, making changes as needed
Accept and process all bed requests in a timely manner per the guidelines required by the Admitting Department
Assigns patients to medical house staff appropriately and relay admission information in timely manner
Ensure accurate reporting of bed availability and status in the electronic bed board and other systems as assigned.
Ensure nightly census reconciliation is completed per the guidelines required by the Admitting Department
Complete reporting of bed status and counter in bed management spreadsheets, HRTS, RAIN, and other systems as required by the Admitting Department.
Ensure recording of High Census is up to date and accurate per the guidelines of the Admitting Department
Ensure compliance with other duties as assigned.
Maintain statistics/information for areas in the hospital for reports as needed
Process bus, cab, gas, and hotel vouchers according to the guidelines of the Admitting Department.
Coordinate facility to facility transfers per the VCH and VUMC policies.
Direct/Coordinate calls between facilities on a recorded line
Enter information into a tracking system per protocol
Hand off calls outside the scope of the position to others per the guidelines of the Admitting Department
Properly report inconsistencies in process to the Access Center Leadership
Perform dispatch functions per the departmental protocol
Dispatch calls for environmental services and patient transport
Enter information in the SEMIS system per protocol
