The Executive Assistant to the President & Chief Executive Officer is a critical role working closely and effectively with the President & CEO and the senior executive team members and key stakeholders. Having personalized expertise, this position will learn and understand the characteristics of the President & CEO in order to gather as much information as possible, as early as possible, to ensure he is fully prepared for all meetings, travel, and projects. The EA is a master of the calendar understanding deadlines, appointments, meetings, presentations, calls – the navigator of all plans keeping moving parts on time and on schedule. This position anticipates needs in advance and plans accordingly in order to move in the direction the President & CEO wants to go. The EA will prioritize the personal calendar, while balancing the professional calendar, allowing the President & CEO to maximize his professional time and respectfully communicate in order to not overcommit. Having a sense of integrity and discretion, the EA will respect the confidentiality of the President & CEO, even under pressured situations. This position will demonstrate a servant's heart achieving his/her goals by helping others achieve theirs whether the task is large or small.
Be a master of the calendar – demonstrate good judgement pertaining to timeframes, necessary participants, and meeting details such as notification of time, date and location. Handles all calls and visitors with grace, sophistication and professionalism. Ensure the President & CEO knows all appointments scheduled. Coordinate travel arrangements. Anticipate needs for reservations, complete appropriate paperwork.
Demonstrate excellent communication skills – this includes taking minutes, composing correspondence, accelerating response times where necessary, understand stakeholders. Ensures a professional, responsive and effective experience with the Organization as a whole. Provides systematic and dependable follow up, as well as a high level of organization and preparedness.
Create new and master current systems – Identify efficiencies in processes with office work such as database administration, creating and managing spreadsheets, submitting and tracking expense reports.
Respect confidentiality – Acting with integrity and a sense of discretion is non-negotiable.
Personalized expertise – Understand President & CEO's characteristics in order to ensure preparedness and be proactive. The EA will also display engaging interpersonal skills including the ability to think and act strategically, provide sound judgment, and provide a positive and energetic attitude.
Minimum Education Requirements
A Bachelor's degree or at least 8 years' experience supporting senior staff.
Minimum Experience Requirements
8 years' prior experience supporting C-Level Executives with highly professional demeanor.
Superior written and verbal communication skills.
Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint), Skype for Business, Sharepoint and other business software applications as required.
Strong interpersonal skills and ability to build relationships with stakeholders.
Ability to keep up in a fast paced environment and take initiative, anticipate needs of executive.
Systems oriented and tech savvy.
Extremely trustworthy, understands the importance of sensitivity and confidentiality.
Flexible and ability to adapt, reacting positively and quickly to last minute changes in logistics or needs. Ability to work outside normal business hours on occasion.
Highly organized and great attention to detail.
Excellent telephone etiquette and skills.
