The Administrative Assistant plays a pivotal role in the successful management and operation of all efforts in the area of direct support to the Facilities Design and Construction teams; will work directly with a wide variety of internal and external stakeholders at all levels in the University; must be able to perform at a high level of professionalism, confidentiality and responsiveness; will need to be able to exercise independent judgment while reviewing and prioritizing electronic and written mail as directed by Leadership Staff of FDC; must be able to compose and handle routine correspondence; be required to prepare reports and documentation for departmental funds for the departmental funds; responsibilities include but are not limited to greet and direct visitors; answer phones and inquiries from internal and external callers, open and distribute mail, schedules meetings, maintain conference room schedules, assists in coordinating office events, order office supplies and manage office equipment; may be asked to enter electronic records into the Electronic Management System or be responsible for auditing the data records that are scanned into the Electronic Management System; will support the four project teams by entering eRequests into the system for the Project Managers, in an effort to free up some of their time; will be responsible for maintenance of records for Occupancy Certificates, invoices from the Fire Marshall for inspections and Emergency Call Lists for capital projects to be distributed to various campus entities; maintain records and electronically file Insurance notices and inquiries for project status; provide responses to inquiries for Notice of Commencement and Furnishing and electronically filing of the documents; act as the Building Coordinator in reporting problems to S2F staff and monitoring conditions of work orders; perform other duties as assigned.
Working hours are 7:30 a.m. to 4:30 p.m. Monday through Friday, may need to work additional hours on an as needed basis.
Six months of experience (600 hours training) using computers to generate a variety of materials ranging from basic to complex; six months of experience (600 hours course work) in office practices and procedures; six months of experience (600 hours course work) in customer service.
Previous customer service experience, especially in a front desk/reception capacity; effective interpersonal and communication skills; ability to interface with personnel at all levels verbally and in writing; proficiency with Outlook, Word, Excel, and Power Point and electronic forms; experience with internet access environments; self-motivated with strong problem solving skills; valid driver's license.
Target Salary: $16.82 - $18.00 Hourly
