Full Time 40 hours Grade 009 ED Admin. Support Schedule 8 AM-5 PM Responsibilities General Purpose: With minimal supervision, provide support to ED Observation Medical Director and MDs, Advance Practice Provider (APP) group and QA Director within the Emergency Department. Independently manage QA reports and projects, responds to QA requests as appropriate. Serve as departmental liaison for ED QA committee and patient call line, supports Observation clinical care providers and maintains re-appointment files for clinical care providers. Manage the administrative aspects related to rotating APP students. Demonstrates leadership attributes as part of the team. Ensure all communication is clear, concise and understood by others. Provide assistance or direction during more complex customer interactions. Model and reinforce customer service behaviors. Identify and recommend improvement solutions to immediate supervisor(s) for discussion. Understand how daily responsibilities support and maintain the larger systems; handoffs to others are timely and accurate. Demonstrate an ability to re-prioritize tasks as unplanned events occur to ensure department goals are ultimately met. Ensure own work is completed and assists others as needed. Specific Responsibilities: Administrative Support â“ Advance Practice Providers including Coordinate monthly Journal Club including speaker arrangements, CME requirements, event planning. Administrative support for on-boarding of new hires. Administrative support for APP group for travel, educational events and expense reimbursement. Insure compliance and maintain APP quarterly chart reviews. Insure web-based scheduling system accurately reflects the most current work assignments. Facilitate ED rotation for visiting students including schedule and on-boarding. General administrative support. Administrative Support â“ Observation Unit Coordinate monthly Journal Club including speaker arrangements, CME requirements, event planning. Coordinate travel arrangements and subsequent expense reimbursement. Insure on-call schedule is accurate, up to date and appropriately recorded in the Page system. Quality Assurance Coordinate Monthly QA/M&M meetings including planning and preparation for monthly meetings. QA Chart Audits, including reconciliation report. Develop and maintain Departmental QA policies and procedures, including on-line updates. Support QA leadership as needed. Other Duties Maintain telecommunication inventory and master list of all phone lines to insure communication needs of department are met. Coordinate updates to the Clinical Policy and Procedure Manual and the Emergency Medicine web site. Oversee web-based departmental scrub purchase site. Coordinate access to the Emergency Department for URMC employees. Insure SA on-call schedule is accurate, up to date and appropriately recorded in the Page system. Perform other duties as assigned. Requirements Two years of post high school education in secretarial studies and at least 3 years of secretarial and office experience, including 1 year in a position which demonstrated the ability to work with minimum supervision and to direct an office operation or an equivalent combination of education and experience. Demonstrate ability to work with minimum supervision and to direct program operations. Microsoft office skills required including Excel and Access.
