Position Summary: We have an exciting opportunity to join our team as an Administrative Assistant.
The mission of the Office of Diversity Affairs is to cultivate a diverse and inclusive environment at NYUSOM and NYU Langone Health through strategic partnerships, comprehensive institutional collaboration and community building that leads to excellence in education, research, patient care delivery and outcomes, and the development of transformative healthcare leaders to reduce health inequities and health disparities for all.
Assist Pipeline Program Coordinator with coordination and implementation of pipeline programs (e.g. field trip chaperoning, co-facilitation, etc.)
Provide academic advising and support for pipeline program students
Liaise with C21 STEP Scholar partners
Assist with student outreach and recruitment
Contact pipeline program alumni for program evaluation and reporting purposes
Consolidate pipeline program applications
Compose student letters of recommendation as requested
Professional Development and Training:
Assist Professional Development and Training Coordinator with scheduling and coordination of trainings and courses for students, residents, fellows and faculty
Assist in the facilitation of trainings and courses as needed (e.g. OSCE audio booth facilitator)
Assist in the planning and coordination of annual Health Disparities Symposium
Recruitment and Retention:
Assist Recruitment and Retention Coordinator with scheduling and coordination of events for students, residents, faculty and fellows
Assist with the consolidation, assembly, and shipping of recruitment material as needed
Update Liaison Program list and disseminate congratulations email to students invited for interviews on behalf of ODA
Assist in the planning and coordination of Womens Initiatives programs
Assist with data gathering, analysis and generating reports
Communications and Marketing:
Assist with the preparation, organization and dissemination of monthly e-newsletter
Process PCard charges in People Soft Financials
Process inter-office-invoices to order services, goods or materials
Maintain detailed receipt records of items purchased on office PCards
Assist with reimbursements for office staff, faculty and students
Collaborate with office Director to reconcile charges and office budget
General Office Duties:
Maintain inventory and process procurement of office supplies and materials
Assist with the scheduling of office meetings with staff and other meetings as needed
Assist with the booking of rooms for staff meetings and other meetings as needed
Create meeting agendas for bi-monthly staff meetings
Print and photocopy office documents as needed
Minimum Qualifications: To qualify you must have a Bachelors Degree in any related field is required. A minimum of 3 years of related experience or an equivalent combination of education and experience. Effective oral, written skills including knowledge of grammar, spelling and punctuation, communication and interpersonal skills. Effective verbal communication skills are required, including tact and diplomacy. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, Power Point and Outlook. Familiar with Internet applications. Time management skills and be able to work well under pressure. Ability to multi task. Problem solving and decision-making skills. Ability to interact effectively with all levels of management and must work and communicate effectively with both internal and external customers. Knowledge of standard office practices and procedures.
Preferred Qualifications: Bachelors degree or 4 years of progressive administrative experience.
Qualified candidates must be able to effectively communicate with all levels of the organization.
