Provide full clerical support to the Staff Associate to the Vice President of Administration and Finance/CFO, providing direct clerical support to the Vice President/CFO and Comptroller as needed. The Part-time Assistant is responsible for assisting Staff Associate with all office tasks to ensure that daily office operations are efficient and streamlined as well as the following:
Provide phone coverage for the Staff Associate, Vice President and Comptroller.
Schedule meetings for office personnel as requested.
Process incoming and outgoing mail for the Administration area.
Maintain electronic and paper files for office documents.
Prepare materials for correspondences, reports and meetings as required.
Track budget activity; prepare and ensure delivery of purchase requisitions and direct payment forms to Accounts Payable, Purchasing and other departments as required.
Prepare travel documents and reimbursement materials for Vice President and Comptroller.
Order supplies for the Administration area as needed.
Coordinate weekly Food Service menu distribution with Food Service and Information Technology personnel.
Assist Staff Associate with special projects as assigned.
Associate’s degree and at least two years of full-time professional experience in an office setting.
Must possess strong computer skills with knowledge of Microsoft Office, excellent verbal and written communication skills and the ability to exercise discretion in handling confidential information.
Demonstrates excellent communication and interpersonal skills with ability to establish and maintain strong rapport with internal and external individuals.
Exhibits strong computer skills with knowledge of Microsoft Office Suite programs.
Exhibits high level of initiative with ability to work independently and in collaboration with others.
Displays commitment to maintaining confidentiality of office records and exercising discretion when handling sensitive information.
Demonstrates ability to manage multiple competing deadlines with ability to prioritize tasks.

Hours: 17.5 hours per week
Pay Rate: $16.00 per hour
