The Coaching & Program Coordinator of the Career Education & Coaching team supports the mission of HBS Career and Professional Development by supporting the MBA and Alumni career coaching services and career programming offered to HBS MBAs and alumni. The Coordinator is responsible for managing the ongoing operations of the MBA and Alumni Career Coaching program and for detailed analysis required to manage program scope and quality. In addition, the Coordinator supports the planning and execution of MBA and Alumni Coach training programs, leads in the logistics of Alumni Reunion, and supports the execution of MBA programs throughout the year. The Coordinator will also be involved in a variety of other CEC team and CPD office-wide events and programs. Specific responsibilities include:
Serve as Coaching Team Lead on Key Career Coaching Systems
Key lead and liaison on software systems supporting the coaching program
Serve as coaching team lead for the HBS Recruiting platform with SME responsibility for the Career Coaching module.
Maintain the Career Coach directory (alumni and MBA) to ensure proper visibility of the coaches and to align with the coaching module of the main HBS Recruiting platform.
Serve as team lead for annual CareerLeader student records upload to ensure Career Coaches have access to needed information and work with account manager to troubleshoot issues.
Maintain the HBS Partners website.
Serve as the coaching team lead on broader CPD website and other systems testing, content development/updating, proofreading and other requests.
Maintain coaching share site as a channel of communications with coaches.
Manage annual IT Security Compliance process with coaches.
Manage operations related to the MBA and Alumni Coaching Program
Manage new coach onboarding – set up with pre-orientation work, orient on systems, set up systems access. Coordinate with Associate Director for new coach training schedule.
Manage student and alumni electronic review distribution (LinkedIn Makeovers, resumes, cover letters) and associated reporting.
Track coach program participation RSVPs.
Match incoming MBA Partner Coaching requests with relevant Career Coach.
Handle CareerLeader logistics for students and alumni.
Facilitate daily room assignments for coaches and provide daily coach schedule to front desk.
Manage weekly invoicing process for LHT coaches.
Contribute to MBA and Alumni Program Work
Take team lead role for Annual Coach Training logistics.
Take team lead role for Peer Review meeting logistics and other programmatic needs.
Take team lead role for Know Before You Go 1:1 interview program logistics and day-of execution.
Manage LinkedIn Makeover content and training (coaches and staff).
Participate as team member for Prep Days 1:1 interview program logistics and day-of execution.
Participate as team member in managing logistics and execution of the Spring Alumni Reunion.
Participate as team member in other MBA and alumni programs as required.
Other Coaching Team Work
Field coaching-related questions that come in to CPD through the main account or phone.
Support HBS faculty member in his CPD-related class development and teaching as required, as well as in scheduling of coaching sessions, preparing expense reports, and other logistics on an ongoing basis.
Support senior CPD staff with scheduling and Concur expense report preparation as needed.
Assist with CEC team projects and other office projects, as needed (examples: what's out there in the coaching universe project and Fast Fundamentals video research and development).
