Manage the undergraduate and graduate admissions processes requiring data and document file exchanges. Provides functional support for the university's Constituent Relationship Management (CRM) products, Enterprise Resource Planning (ERP) system, document imaging and reporting tools (e.g. Cognos). The Admissions Operations and Systems (AOS) department and this position are the functional subject matter experts for the university's admission systems and will liaise with Information Services for validating internal and external file integrations, trouble shooting, new process development, upgrades and ultimately ensuring the data and document integrity of supported systems. Reports to Director, Admissions Operations and Systems.
Characteristic Duties and Responsibilities:
Support the configuration and maintenance of admissions file exchanges and data integrations across multiple admissions systems, including various third party vendors (e.g. Common Application).
Assist with administrative functions, testing and upgrades associated to the university's constituent relationship management system(s) and admission related support technologies (e.g. OnBase, application Xtender).
Monitor daily system integration reports, processes and resolve errors.
Participate with the process design and support for implementation of admission related support technologies (e.g. OnBase), including template management, document security and quality control measures.
Create and maintain the admissions system's master table of institution codes.
Responsible for the daily imports of admissions data into ERP from all external data sources.
Monitor routing of the state electronic college transcripts, resolve issues and assist credit transfer area to ensure coursework loads directly into ERP articulation tables.
Provide ongoing support for document management processes and develop auditing procedures for validating required documentation of admitted students.
Train users on records and imaging processes, maintain operational procedures documentation.
Assist with researching missing documents or data files in ERP.
Identify reporting needs and develop criteria needed for notification alerts.
Perform related duties as assigned.
Bachelor’s degree in computer science, technology or related field. Two or more years of experience working with admissions data and supporting those processes across multiple university systems or integrations (e.g. Salesforce,TargetX or CollegeNET or a document management system like OnBase).
