OVERVIEW: The Freshman Enrollment Specialist reports to the Director of Enrollment Management, serves as the liaison to University Admissions for freshman enrollment, partners to execute strategic enrollment initiatives, oversees the scholarship process for all freshman and upper division scholarship awards, and manages the Carlson School UG Student Ambassador Program. The Specialist will ensure a highly professional, positive and memorable first impression of the Carlson School of Management for all perspective students and guests.
Execute the undergraduate scholarship strategy by managing over $1 million dollars of scholarships and possessing in-depth knowledge of award criteria, spend plan, and databases including Peoplesoft, STAR and Filemaker.
Serve as the primary collegiate partner for scholarships with the Financial Services Office, University of Minnesota Foundation and Carlson School Financial Services Office.
Meet regularly with Financial Services Office to determine the annual scholarship plan - including scholarship funding levels, criteria of awards, planned over award amounts and re-awarding process.
Using information provided by the Undergraduate Enrollment Coordinator identifying newly admitted freshmen and outlined eligibility requirements, select and award scholarships in a timely manner.
Partner with the Office of Admissions to share collegiate scholarship decisions and identify opportunities to stack Admission awards for key students in the recruitment process.
Partner with departments, such as the Accounting Department, Medical Industry Leadership Institute (MILI), and Carlson Global Institute (CGI), to ensure specific departmental awards are incorporated into the larger scholarship award processes.
Oversee the award communication process, including timeline, messaging and establishing a decision date and process.
Monitor award yield timeline including the re-awarding of scholarships, re-alignment of over-awarded scholarships and communication to director in regards to final award yield.
Track yield patterns and confirmations of students, adapting spending plans as needed to ensure maximization of dollars to admitted students prior to confirmation, and minimization of overspending awards.
Provide regular reports to director for monitoring the yield as well as annual reports as outlined by director.
Continuously develop the award spending model, using data to inform improved strategic processes each year.
Manage the Upper Division award committee by establishing award criteria, selection process and timeline.
Admitted Student Initiatives (40%)
Serve as a key liaison to the central University of Minnesota Office of Admissions by building collaborative relationships, discussing recruitment strategies and serving on central admissions committees.
Maintain the day-to-day partnership with Freshman Admission Counselor, meeting regularly to manage respective yield initiatives.
Oversee the collegiate yield process by designing a comprehensive experience for admitted students by executing a well-developed strategic plan that includes marketing, events and engagement with current students, staff and faculty.
Partner with the Office of Admission, Carlson Freshman Admission Counselor, Director of Strategic Communications and Director of Diversity and Inclusion to identify newly admitted students, sync efforts and enroll a diverse class.
Partner with the Office of Admission and Carlson IT to designing reports and obtain weekly admitted students lists and profiles to help execute and adapt yield efforts as needed.
Design and execute key admitted student events annually, with efforts to target segmented audiences that assist in the achievement of outlined strategic goals for specific populations.
Develop an assessment plan for admitted student events by staying abreast of national trends, compiling and interpreting data, and making recommendations for necessary changes to events.
Manage the Student Ambassador Program, including interviewing, selection, training, programming and supervision of 20 student leaders each year.
Develop strategic programming for the Student Ambassador Program to ensure impact on freshman enrollment, including oversight of information sessions, special visits, admitted student calling and outreach, and assist in determining the marketing needs for print and web including photography, video and testimonials.
Prospective Student Recruitment (20%)
Serve as primary point of contact for the Freshman Admission Counselor, maintaining day-to-day contact, meeting weekly and routing prospective student/family, and special group inquiries and requests accordingly.
Collaborate with the University of Minnesota Admissions Visit Office to coordinate weekly collegiate information sessions, including logistics, presenters, and involvement of Student Ambassadors, materials and key messaging and branding.
Collaborate with the Office of Admissions’ Events Coordinator and Freshman Admissions Counselor to host, staff and support Office of Admissions’ recruitment events, including Summer Sneak Preview, Experience Minnesota and National College Fair.
