The Administrative Coordinator, Music Division, serves as the administrative assistant to the Dean of Music, and interacts on an almost daily basis with the students, faculty, and staff members as the primary administrative point person of the Music Division. Working with the Dean, the Music Division Chairs, and the Concert Services Manager, the Administrative Coordinator facilitates all administrative functions of the Music Division and supervises student office staff.
ESSENTIAL FUNCTIONS/PRIMARY DUTIES AND RESPONSIBILITIES:
Administrative Support. Manages meeting and appointment schedule for the Dean. Attends meetings and takes and creates meeting minutes as needed. Provides or supervises administrative support for the Music Division management team.
Provides broad budgetary oversight for departments within the Music Division. Assists Dean and area management with annual budget preparation and long-term budget projections.
Maintains records to track spending from centralized accounts throughout fiscal year. Reviews individual expenses and works with budget managers, vendors, and Accounting to resolve discrepancies. Processes budget transfers and budget change authorizations as needed. Supervises hours and payment of staff accompanists. Reconciles Dean’s conservatory purchasing card transactions.
Refers external contacts to appropriate conservatory or college contacts and advises of relevant departmental procedures when necessary. Communicates with students, faculty, staff, and management to address and share issues relevant to area, including building access changes, meetings, and general notifications.
Event Coordination. Assists with the planning and coordination of area meetings and large meetings as needed. Arranges catering as needed. Manages access to building conference room resources. Facilitates guest artist paperwork and payments. Coordinates and supports Music Division special projects, such as festivals, artist residencies, and faculty/staff searches.
Facilities Management. Acts as liaison between Music Division and Physical Plant and Public Safety. Effectively communicates with departments on building issues and submits and tracks work order requests as necessary.
Office Management. Orders supplies, maintains vendor relations, hires, trains, and supervises student employees. Maintains office standards and procedures, shared computers, photocopy machines, mail delivery, keys, lockers, etc. Reception duties when students are not assigned, including mail, phone, and greeting visitors.
