Reporting to the Director of Admissions, the Director of Admissions Operations will provide leadership, management and assistance in the day-to-day operations of the Admissions office. Responsibilities include budget management, data and process analysis; strategic guidance and reporting of data, systems and labor needs to support continued growth; and the development of the support staff to best support the office needs.
This position also serves in the capacity of an enrollment business analyst, providing detailed data and process analysis; developing reporting processes and delivering both regular and ad-hoc reports as determined by the Director of Admissions to best support the office needs.
Key responsibilities include:
Enrollment Business Analyst
Supports the admission application process including the processes for acquiring, storing, accessing and reporting of applicant information.
Develops and manages process flow for application and enrollment data that ensures efficiency and cost effectiveness, integrity of data, appropriate data access policies and timely access to data by authorized individuals.
Creates efficiencies through defining and measuring goals and strategizing ways to improve.
Develops reports that support analysis and decision-making as well as measurement of all enrollment related goals.
Assists the operations team in document processing, customer engagement and participation in on-campus admission events.
Assists in institutional research efforts and dashboard development for senior enrollment leadership.
Provides leadership in ensuring a customer friendly interface with all aspects of the application process.
Collaborates with IT to evaluate third party vendors, establish system performance standards, set up contracts and monitor vendor performance as required.
Partners with IT to set the technology direction to align with the department and Academy goals.
Collaborates on strategy and decision-making with departments across campus on data and systems issues that have impact within and outside of the Admissions department
Provide technology project support for admissions systems initiatives including business requirements, RFP development, subject matter expertise, testing, and implementation support.
Represent Admissions on the IT Strategic Planning Committee
Advise Director of Admissions and Dean of Enrollment and External Relations of data and reporting status and provide recommendations for improvement.
Manages, trains, mentors and assists the admissions support staff in the day-to-day operations of the office.
Creates efficiencies through defining and measuring goals and strategizing ways to improve. Oversees entire admission process to ensure maximum efficiency and superior customer service.
Collaborates with director of admissions on development of a strategic family partner program designed to increase family engagement.
Manages operational and team budgets.
Drives the admissions annual planning process including assistance in the preparation of and oversight of all related support activities.
Establishes metrics and tracking reports that support analysis and decision-making as well as measurement of department goals.
The successful candidate must have a bachelor’s degree. Graduate degree preferred.
The ideal candidate will have:
PMP certification preferred.
5+ years of prior operations and project management experience.
3+ years in a business analysis role.
Business analysis experience in an educational setting preferred.
Experience in software integration/development.
Experience with Ellucian Colleague or similar educational ERP.
Experience with SQL preferred.
Prior supervisory experience of office staff in a similar environment is necessary.
Experience with financial plans and budgets.
Experience working with adolescents in an educational setting is preferred.
Strong interpersonal skills with ability to develop and maintain collegial relationships.
Excellent communication (written and verbal) skills.
Strong comfort level with data driven decision-making.
Proven strong presentation skills and presence.
Excellent analytical and problem solving skills as well as a strong customer focus.
Ability to work independently and handle multiple priorities and deadlines simultaneously.
Strategic high-level thinking coupled with the attention to detail necessary for successful planning and execution.
Knowledge of personnel management, supervision and staff training.
Proficient in MS Office, APIs, and data integration.
