Department/College Description General Summary:
Monitor and track financial transactions for sponsored projects and operating departments in the Center for Imaging Science (CIS), a department in the College of Science (COS), ensuring compliance with sponsor guidelines and University policies/procedures, as well as the preparation of financial reports to enhance management decision making and fulfill sponsor and University requirements. Provide excellent customer service to faculty and staff who are involved in the day-to-day administration of sponsored projects and operating accounts.
Detailed Job Description Major Responsibilities:
Maintain procedures that utilize data in the RIT Oracle Financial/Human Resources systems to provide CIS, Color Science, and AST management with accurate and complete information for enhanced management decision making.
Maintain knowledge of the requirements of sponsored programs administration including the application of cost principles, administrative requirements, and audit requirements, A-21, A-110, and A-133, respectively, superseded by the OMB Uniform Guidance (2 CFR 200); federal acquisition regulations (FAR), and all related organizational policies and procedures.
Act as primary contact to Principal Investigators (PIs) responding to questions regarding sponsored projects. Advise CIS Director of potential issues, especially those regarding employees funded by grants and contracts. Work closely with administrative staff and PIs to monitor grant and contract activity to ensure proper recording of transactions in accordance with GAAP, RIT policies and procedures, applicable regulatory requirements and sponsor terms and conditions. Act as a liaison between Sponsored Research Services (SRS), CIS, and SPA to resolve and budget accounting questions.
Assist the COS College Partner in preparing accurate financial forecasts for the fiscal year end balances for the CIS, Color Science, and AST operating departments. Work with COS Sr. Financial Analyst to incorporate CIS, Color Science, and AST financial information for operating, capital, endowment, gift, special project, and discretionary accounts into COS financial models. Assist CIS Director with preparation of information for budget hearings, merit, and advisory board meetings.
Support Director and Assistant Director of CIS in continued development / implementation of standardized control activities within CIS to safeguard the assets of the University adhering to internal and external policies, procedures and regulations. Provide continued feedback to Director and staff on effectiveness and operation of standardized controls.
Assist departmental managers and Assistant Director with coordination of new employee processing and terminations within CIS and Color Science, which includes overseeing the processing of EAFs for salary distribution changes by the CIS Sr. Staff Accountant.
Monitor, reconcile, and maintain expense transactions for department operating, grant, contract, gift and endowment accounts utilizing the Oracle financial application. Prepare correcting journal and budget entries as needed.
Coordinate training of Center administrative staff in the use of the RIT Oracle financial and human resource applications where applicable. Assist Center personnel to ensure that the annual equipment inventory is completed accurately and timely.
Complete periodic requests for financial information and/or analysis from Finance & Administration, COS Dean, Office of Graduate Studies, Office of the VP of Research, Institutional Research and Policy Studies, as well as outside constituencies. Complete special projects as requested by the CIS Director.
Enhance understanding of internal and external policies and procedures, as well as raising awareness of the importance of a stong University internal controls environment. .
Participate in 40 hours of training/professional develop annually. Training will be applicable to the Financial Reporting Specialist role within the Controller's Division with the intent of enhancing overall knowledge as well as the specific skills, whether functional or technical, required to perform successfully in the position.
Perform other duties as requested by management.
Required Minimum Qualifications
BS in Accounting or Business Administration required Six to seven years progressive experience in accounting, financial analysis, and/or project accounting Familiarity with post award grant and contract administration
Strong customer service, organizational skills, and excellent verbal and written communication skills Enterprise wide financial applications experience and PC-based computer skills Advanced knowledge of MS Office products. Individual must be highly motivated and driven and possess the ability to interact effectively and professionally with individuals at all levels of the organization Must work independently with minimal supervision and exercise professional judgment in carrying-out all assigned responsibilities.
