Position Summary Under general supervision, supports the Office of the General Counsel General Services to include facilities, mail, equipment/supplies, and space management. Performs operational and/or procedural assignments that are moderately difficult, requiring judgment in resolving procedural issues. Tasks involve the handling of confidential information and moderate use of database applications. Makes recommendations to improve processes and/or procedures.
The University of California Office of General Counsel (OGC) delivers ethical, timely, efficient and high quality legal services to the University of California ten campuses, five medical centers, and the Lawrence Berkeley National Laboratory, as well as to the Board of Regents, the President, the Chancellors and other officers of the University. Its services include prosecuting and defending litigation, drafting and negotiating agreements, providing advice, counsel and interpretation of laws, regulations and policies, and assisting with development of effective compliance and risk mitigation strategies to facilitate the University's complex operations.

Duties 1. Active member of the OGC Help Team to assist and respond to facilities requests, equipment set-up and troubleshooting, and miscellaneous issues as needed. Evaluates and liaisons with ITS (including Telecommunications), Building Services or outside vendors as needed concerning problems with photocopiers, fax machines, phones, etc. 2. Administers internal mailing processes and procedures. Sorts and delivers mail throughout the department, manages outgoing mail. Develops and utilizes filing systems and performs filing as needed. 3. Utilizes standard office software programs that include the straightforward application of formulas; uses PowerPoint to display information with both text and graphics. 4. Ensures photocopy machines are well stocked and functioning properly. 5. Oversees administrative and logistical arrangements for conferences involving multiple parties, receiving limited direction. Determines room and equipment needs. 6. Utilizes database applications: searching and updating content, producing reports. 7. Prepares purchase orders by researching and recommending vendors/pricing plans/equipment and may identify substitutes. 8. Prepares responses to routine correspondence. 9. Maintains supply inventory and storage areas. Ensures supplies are at adequate levels and readily available in all designated areas. 10. Assists Lead with maintaining building related procedures including access controls and security, emergency preparedness, commonly-encountered hazardous materials storage and disposal, crime prevention activities, fire safety inspection compliance and reporting. 11. May act as liaison for OP ergonomic program. 12. Handles sensitive and confidential information regarding bargaining unit issues.
Job Requirements Requires a high school diploma with at least three years of experience performing administrative and/or general services responsibilities at an intermediate level of complexity.
