UW Medicine has an outstanding opportunity for a Development/Fund Raising Events Coordinator.
The Development/Fund Raising Events Coordinator will coordinator special events and supporting activities to further UW Medicine Advancement initiatives; create and maintain a highly specialized system of data to capture, cultivate and steward donors to UW Medicine.
Work under general direction, reporting to UW Medicine Advancement's Associate Director for Special Events.
Provide administrative support to the Special Events team in the production of 75+ special event activities per year.
Data and Fiscal Management
Maintain a sophisticated and comprehensive system of data, giving history and collateral on prospects, donors and event attendees, and sync database with main University Advancement database.
Utilize a combination of technology, including all programs within Microsoft Windows, primarily Access, to ensure clear and accurate communication and presentation of programs, schedules and budgets.
Process all tickets, registrations, gifts and invoices associated with the special events program.
Primary coordinator for all event invitee-related data, including compiling a guest list, cross-checking for accuracy and reconciliation. Manage guest registration submissions utilizing Wordpress GravityForms, Marketo and Cvent web systems.
Prepare all event associated on-site collateral including nametags, place cards, gift bags, registration lists, seating cards, etc.
Lead and execute on-site registration for events.
Perform complex scheduling and related duties as required.
Coordinate and monitor budgets, particularly income for events and activities.
Guest and Constituency Relations
Provide timely, outstanding customer service to event registrants with an advanced level of professionalism.
Provide training and consultation to colleagues and volunteers.
Exercise independent judgment in developing relationships with affiliated or potentially affiliated individuals of the University of Washington and UW Medicine such as volunteers, donors, faculty, staff, University alumni, corporate supporters and students.
Serve as liaison to University Advancement, Donor Relations, unit financial administrators and other units as required.
Interact with alumni, donors, students, supporters and others by attending conferences/training when appropriate.
Communications and Research
Assist UW Medicine Advancement Special Events team with marketing, graphic design and communications to commission printed material, publicity plans and internet communications, which effectively promote special events and activities.
Manage calendar of events and internal communication to campus partners regarding UW Medicine Advancement activities.
Coordinate public relations activities including social media and web outreach.
Research and utilize market trends within business and university environments to ensure event activity aligns with strategic and business plans; modify as research directs.
As appropriate, identify and solicit additional sources of funding (corporate, individual, media) for special events and activities.
Coordinate events and activities that will encourage support for fundraising and/or other major initiatives for UW Medicine.
Perform other related duties as assigned.
Bachelor's degree. Two years of experience in alumni relations, advancement, public relations, or event planning, demonstrating excellent verbal and written skills, organizational skills and ability to work independently and as part of a team.
Proficient skills in key Microsoft programs (Excel and Word a must, including mail merges; Access preferred but not required); design and visual sensibility.
Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration.
Skills with content management programs; skills with Customer Relationship Management software such as Raiser's Edge, Advance or a comparable data management program; advanced knowledge of Access database management. Comfortable using web tools such as Wordpress Gravity Forms/Cvent/Marketo. Quality interpersonal skills both in person and by phone with high professionalism. Ability to accomplish projects quickly and efficiently with little supervision. Strong customer service ethics and high expectations for quality. Ability to manage multiple projects and work assignments.
CONDITIONS OF EMPLOYMENT
Must be able to transport items such as signage and event materials to event locations and travel efficiently between multiple locations within the greater Seattle area.
Must be able to stand in one place for event staffing, to be able to carry a maximum weight of 25 lbs (such as a case of wine) and be able to push and pull handcarts to transport events equipment and supplies.
Flexibility to work weekends and evenings for events and event preparation.
A satisfactory outcome from a criminal background verification will be required prior to hire.
