The Michael G. Foster School of Business has an outstanding opportunity for an Administrative Specialist.
Faculty Services & Class Management
- Initiate and perform complex and confidential projects within the Hybrid MBA and TMMBA Office, demonstrating independent judgment and discretion with regard to proper handling of such projects.
-Serve as a liaison to Foster School faculty and teaching assistants; provide training and support for everything surrounding the execution of courses.
-Negotiate teaching and review session scheduling each quarter; manage the online student curriculum calendar on Canvas; plan the yearly academic calendar for Hybrid MBA.
-Manage all class day coordination including classroom reservations, parking, student presentation schedules, and faculty/student communications and support.
-Generate quarterly assignment matrix to share with students, faculty and TAs for course and study planning purposes.
-Manage the course evaluation process between the Office of Educational Assessment and business school. Distribute evaluations to Program Director and Faculty Director, archive and enter into evaluations database.
Student and Program Management Services
-Manage program fee reimbursement processes and procedures and work with VA Office on ensuring a smooth student experience and fee payments.
-Track student grades on a quarterly basis and generate grade reports for the Executive Director. Create academic letters as needed.
-Manage the online student curriculum calendar; plan the yearly academic calendar.
- Order and distribute course materials and other program material to students.
Administrative and Fiscal Management:
- Manage the quarterly budget for course materials, textbooks and copyrighted material, including selecting vendors and negotiating contracts.
- Oversee the archiving of digital course materials and distribution of content via course sites
- Supervise and oversee the day-to-day activities of the Fiscal Specialist II and ensure the position has the resources, training and support needed.

Bachelor's Degree in liberal arts business administration, public administration and other
Three years of experience working with complex projects involving multiple stakeholders and deliverables, complex client or community interactions, and prioritization of multiple competing demands.
Ability to develop and maintain sound fiscal and general administration processes.
Excellent oral and written communications skills; demonstrated and committed to provide excellent customer service.
Experience juggling diverse work assignments that range in duration and time sensitivity, with frequent interruptions and emergent priorities.
Strong office and project organizational skills, attention to detail, ability to meet deadlines.
Ability to exercise independent judgment aligned to program management, organizational goals, and constantly changing priorities.
Ability to understand and adapt as necessary to diverse individual and team dynamics to successfully contribute to program outcomes.
Established initiative and ability to work independently while being part of a team.
Event coordination/planning experience..
Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration.
