The School of Pharmacy has an outstanding opportunity for an Administrative Coordinator. This position supports reports directly to the Assistant Dean of Finance and Administration and works closely with the Assistant to the Dean.
The position will provide fiscal, administrative and event planning support for the Dean's Office including the Associate and Assistant Deans. This position is highly visible within the Dean's Office and the candidate must have strong communication skills.
Primary Responsibilities include: The candidate would coordinate our Academic HR process for Clinical and Affiliate faculty (CAF) of the School of Pharmacy. Work includes correspondence with CAF faculty, data entry into a file maker database, courtesy appointment entry into HRP, arrange voting materials, corresponding with Academic Human Resources. The position would work closely with Chairs and their staff to manage these appointments. Manage Dean's office faculty personnel files.
This position would work with others on Health and Safety policy and procedures, coordinate process improvement initiatives across the school, space management and assignments, and facilities. In addition would provide project management work for various School wide initiatives. Position would be responsible for reconciling budgets, purchasing, travel and other reimbursements for Dean's office. Additional duties include supply ordering, reception, facility requests, surplus requests, mail distribution, conference room scheduling, conference room / open area appearance, and provide back up support for Assistant Deans and Dean.
Responsible for planning and managing large School-wide events that are organized through the Dean's office. This requires the ability to work with other faculty and staff in our Departments as well as the Dean's office team. The work includes planning, scheduling, contract management, vendor management, travel arrangements and reimbursements for Dean's office and external visitors. The position would create and manage the budgets for these activities.
Devise, evaluate and revise forms for internal use; assist in the preparation, compilation, and coordination of reports and records such as financial, payroll, purchasing, inventory, personnel, scheduling, and registration; compose office correspondence as needed for Dean's Office needs.
The position supports the Senior Leadership Meetings and our Diversity, Equity and Inclusion council which requires scheduling, minute taking, knowledge of SharePoint/OneDrive, materials coordination and organization of other meetings as needed.
This person must work independently and as an integral part of the Dean's office team. Must have strong communication and project management skills.

High school graduation or equivalent AND two years of experience in administrative support, overseeing and executing office operations OR equivalent education/experience.
Experience with event planning is required. Need valid WA driver's license. May work occasional nights and weekends for events. Experience with Academic Human Resources
Experience with UW Financial and purchasing systems Bachelor's degree in Business, Marketing, Communications, or related area.
