The Administrative Assistant is a non-exempt, full-time staff position which assists management within the Department of Physical Therapy. This position is located at the Irvine Rinker Campus.
The Administrative Assistant provides support to the Department of Physical Therapy. This positions works collaboratively with Department Chair in overseeing budgets that fall within the department subdivision consisting of operating, restricted, capital and research noting shortfalls, transfers, expenditures and associated issues/reconciling accounts. The Administrative Assistant generates and obtains budget data needed by the department for planning purposes.The incumbent coordinates, plans and promotes department events; ensure events are within university and college event policies.The positon assists in developing and maintaining the overall marketing strategy of the department and within the university branding guideline/policy.The incumbent works collaboratively with the department chair on all marketing collateral and publications including event invitations, postcards, programs, brochures, newsletters, email blasts, advertisements, posters and promotional giveaway items.This position performs other duties as assigned.

Specific Job Requirements: Bachelor's degree or equivalent combination of education and experience. A minimum of three years related experience in providing administrative support to professional staff.Experience in planning and implementation of a variety of event types and sizes.Writing skills to prepare clear and concise, grammatically correct business correspondence; strong editing and proofreading skills.Advanced working knowledge of Microsoft Word, Excel, Access, Publisher, PowerPoint, Photoshop, email marketing platforms and the internet. Arithmetic and calculation skills to prepare financial forms. Accounting skills with ability to monitor budget and expenses.Ability to make travel and lodging arrangements.
