The Administrative Assistant is a nonexempt part time 15 hour a week employee of NAMI Metro-Suburban.
Monday through Friday 9:00 to 12:00
Position Purpose: Assists Executive Director and Community Outreach Manager with community resource inquiries, maintains community resource database and assists the Executive Director with grant reports and office organization.
ESSENTIAL DUTIES AND RESPONSIBILITIES
This job description is not intended to be all-inclusive. Employee will also perform other reasonably related duties as assigned by immediate supervisor.
Acts as frontline to all interested in community resources, the Community Wellness Classes and NAMI’s programs
Answers and returns incoming phone calls
Maintains an internal resource database and provides community resources to residents, Living Room participants and NAMI staff.
Supports community outreach activities in Lyons Township area.
Supports training logistics for organizations for Mental Health First Aid training
Creates monthly, quarterly and annual reports for Executive Director based on contractual grant requirements and audits.
Develops and reports on program evaluations to Executive Director and Board
Fosters relationships with funders: finds personal connections and works well with grantor’s staff; attends grantor’s trainings.
Supports Program evaluation system; analyzes and communicates the effectiveness of programs.
Prepares requested reports related to program evaluation for directors as needed. Creates ad hoc reports as directed by Executive Director.
Identifying administrative needs and suggest systems and processes that assist program leads in improving and expanding their effectiveness.
Ensures Administrative Support is Coordinated and Administrative Needs of Each Program are Equally Distributed Across Programs:
Assist with the set-up, operation and backing up computer files on the admins computer.
Assist with the set-up and maintenance of hard copy filing.
Updates (or verifies completion and accuracy of) website throughout the year.
DUCATION / EXPERIENCE / SKILLS
Excellent verbal and written communication skills
Ability to work independently and very well organized
Strong administration skills and understanding of the non-profit sector
Skilled in interpersonal relations, agency administration and social service programs
Experience managing/supervising members and volunteers
Ability to work well with a variety of people with a wide range of skills
Understanding of mental health issues
Proficient computer skills required: Word, Excel, Access or other database software
Reports to the Executive Director.
Represents the values and practices of NAMI as delineated most notably by our affiliate.
Adheres to all agency policies and procedures.
Monitors program for compliance with NAMI standards and grant agreements.
Is fully knowledgeable of the responsibilities of this position and performs these in an efficient and effective manner.
Supports NAMI Metro Suburban’s mission, vision and strategic directions and administrative decisions.
