The Membership Administrator/Administrative Assistant provides assistance and interacts effectively with the Networked Digital Library of Theses and Dissertations (NDLTD) Executive Director, Board of Directors, Committee Chairs, membership, and collaborative parties, both in person and by email. This position administers the membership system and manages membership data; promptly assists members and potential members with questions and with handling of payments; assists the Executive Director and Board members with arrangements for conferences, meetings, and events; prepares agendas, action items, meeting minutes, correspondence, and reports in a timely and accurate manner; and works with the Web Administrator and Communications Committee to update the website and to advertise NDLTD.
- Experience providing administrative support in a professional or senior level academic office setting working with highly confidential and sensitive information. - Basic computer experience such as preparing correspondence, and email. - Proficiency with software such as Microsoft Office applications. - Must have a positive attitude, strong communication and excellent customer service skills, flexibility, and a commitment to continuous skills improvement. - Ability to make decisions, solve problems, and maintain strict confidentiality when handling complex and sensitive issues. - Excellent time management skills, and ability to persistently seek solutions to problems, develop procedures to make operations more efficient, anticipate deadlines, take ownership of tasks and problems, and see actions through to completion. - Ability to project a positive and professional image, and establish and maintain collaborative and productive working relationships. - Excellent organizational skills, detail-oriented, and ability to work independently within a fast-paced environment.
- Experience in the use of social media. - Experience working with faculty in a research or academic environment. - Experience working with large relational databases. - Associate degree in secretarial sciences or related area, or equivalent education and/or training. - CPS or CAP certification.
