The Operations Department, at the Harvard T.H. Chan School of Public Health, works to provide a healthy, safe, and productive work environment by striving to set standards for operational excellence.
The Project and Administrative Coordinator, under minimal supervision, performs a wide range of complex and confidential administrative and clerical duties to support the Operations Department.
Duties and responsibilities include, but are not limited to:
- Supporting project, operations, and facilities administration - Supporting residential hall facilities administration, as well as off-campus location administration (including leases, changeovers, maintenance and security, etc.) - Tracking projects - updating progress reports and disseminating them to relevant stakeholders, and alerting supervisor to status changes, budget variances or schedule delays - Greeting visitors, responding to phone calls and incoming emails - Managing and coordinating space, primarily at the Landmark Center - Assisting colleagues, supervisor, design teams, and consultants in the coordination of construction/renovation documents, plans, specifications, cost estimates and budgets - Communicating with vendors - Communicating, effectively and efficiently, with a wide range of internal and external contacts - Anticipating issues and making connections to resources to solve problems appropriately - Maintaining files (including shared drives), web sites, and office systems - Working within policies and procedures to effectively address administrative needs - Actively engaging in improved operations and customer service
Please note that this position will be primarily located at the Landmark Center in Boston, with minimal travel to and from other offices/buildings within the T.H. Chan School of Public Health (Longwood Medical Campus).

- 3+ years of related work experience required. Education beyond high school may count towards experience. - Prior experience with software applications, as well as the Microsoft Office Suite, required.
- BA/BS degree preferred. - Project Management certificate preferred. - Excellent interpersonal and communication skills preferred. - Experience working in a highly organized, customer service-driven, detail-oriented environment preferred.
