Reporting to the Registrar at the Harvard T.H. Chan School of Public Health (SPH), the Special Programs Manager plays a vital role in influencing and managing the strategic direction of the SPH Summer Session. The session's programs vary in start date, length, tuition structure, and requirements for entrance and completion. The Special Programs Manager is responsible for creating all project plans and timelines, to ensure that the summer team is staying on track with and appropriately completing project tasks and deliverables. The Special Programs Manager is also responsible for working with other members of the Registrar's Office staff to ensure year-round credentialing compliance for both degree and non-degree students.
Duties and responsibilities include, but are not limited to, the following:
- Acts as the first point of contact for any member of the of the SPH community that is interested in creating new, non-degree program, or in expanding an existing program – provides guidance and leads program design, development, implementation and execution - Manages and revises summer session production calendar - Makes strategic decisions regarding program design and student statuses that affect and impact the success of the programs - Leads and guides program creation and execution, and ensures that each program coordinator works in coordination with summer session post-matriculation policies - Designs, develops, and maintains non-degree online applications - Provides training to staff on student information systems and reporting software, including Campus Solutions, OBI, and the PS Query reporting tool - Develops and runs reports -- creating templates to be maintained for future use - Makes technical and programmatic decisions related to the utilization of Campus Solutions - Manages day-to-day progress and updates, of summer programs, for senior staff - Facilitates a seamless participant experience from initiation through completion of a program (including degree and non-degree programs), and tracks and manages enrollment for all accepted into the programs - Establishes and manages expectations with faculty, department administrators, and directors - Maintains and disseminates program delivery updates - Reviews, updates, and creates new policies as required - Defines and communicates process standards, and proposes process improvements to senior leadership in the department - Serves as the point person between all enrollment constituents for the programs - Collects and disseminates all information pertaining to the non-degree programs to administrators and faculty - Maintains the Office's summer program web pages and Student Handbook - Motivates and guides staff around new processes, policies, and procedures - Leverages best practices and enforces office standards - Implements SPH policies as they impact summer session students - Organizes meetings and gathering sessions with stakeholders - Provides training to coordinators on student information systems and reporting software - Serves as primary contact for Harvard University Health Services and the Harvard International Office - Other duties as needed
The Special Programs Manager reports into the Registrar, and supervises one Registrar's Office Master's and Guest Student Coordinator.

- Bachelor's Degree required. - 3+ years of related experience required.
- Master's degree preferred. - Experience managing programs, from organizational design to implementation, utilizing a student information system preferred. - Experience working in a higher education setting preferred. - Experience in negotiating with various and competing interests preferred. - Experience delegating tasks and managing staff preferred. - Experience with complex planning and running of events for 500+ individuals preferred. - Experience with Microsoft Office products required preferred. - Experience with Campus Solutions and reporting tools such as OBIEE preferred.
Experience in managing projects from inception through completion and demonstrated ability to problem-solve; strong oral and written skills; entrepreneurial spirit, flexibility, and high-capacity to multi-task and to meet competing deadlines; experience working independently and proactively with limited direction; strong attention to detail and follow through preferred.
