he Accounts Payable Customer Service group within the Office of Strategic Procurement acts as the primary contact for external customers, as well as school/unit financial offices for researching and resolving inquiries related to Accounts Payable transactions. This position works as a member of a team in a fast paced, customer focused environment, providing information to both internal and external customers in a professional and courteous manner at all times. Also works with supervisors and Managers within Accounts Payable to identify and ensure that suggestions or recommendations for process improvements are presented for review, and possible implementation.
Duties and responsibilities:
Provide superior customer service by responding to phone calls and e-mails received through "Service Now'" the University's issue tracking system, as they relate to Accounts Payable, such as:
Cancelling or closing a purchase order or payment request
Releasing invoices from hold when proper approval/documentation is provided.
Researching Invoice inquiries, verifying if information has been entered into the AP system.
Request invoice copies if needed for processing.
Providing statement research.
Research invoice issues, and take appropriate actions, such as creating and entering credits and debit memos.
Ability to assess issues or problems, and escalate when necessary.
Cross train in other areas of AP functionality as needed.
Handle all calls professionally, displaying empathy and appropriateness in working with disgruntled or frustrated customers.
Utilize and publicize resources available to customers such as job aids, and links to available internal training, and exposure to their local finance office.
Other job related duties as required.

Candidates MUST meet with minimum Basic Qualifications in order to be considered for this role.
High School degree required; college background or degree is preferred.
Three years financial and/or administrative experience is required.
Attention to detail is essential.
Must be able to work effectively, independently, and as part of a team in a rapidly changing environment.
Excellent interpersonal, communication, and organizational skills required. Knowledge of the University's financial systems is a plus.
Technology Skills Required: Experience with desktop computers and web applications is required. Experience with Oracle financial applications preferred.

Physical Requirements: Must be able to travel to all University locations (i.e. Longwood Medical campus.)
