The Department of Genetics and Complex Diseases seeks a highly motivated, organized, professional, and efficient individual to serve as Executive Coordinator to the Department Chair.
Responsibilities and scope of practice include:
- Provide executive-level administrative support to the chair of the department; manage his complex calendar and scheduling needs - Collaborate actively with junior staff members in the office of the chair to ensure smooth workflow and even distribution of task and quality assurance - Update and maintain the extensive curriculum vitae and scientific biosketch of the chair; - Arrange multifaceted international and domestic travel; manage the reimbursement process for travel expenses - Prepare and submit all letters of recommendation for existing and past students and postdoctoral fellows - Draft, finalize, and execute various other forms of written communication for the chair - Produce faculty activity report that is provided to the dean's office annually - Oversee the financial management of corporate purchasing cards; ensure proper utilization of the department's chart of accounts - Manage special events for domestic and international clients; oversee special projects related to the promotion of faculty and faculty searches - Arrange monthly faculty meetings and other recurring meetings; provide high-touch hospitality service, technical and audio/visual support; oversee room reservations for departmental meeting; arrange for visitor guest passes and parking - Organize the process for postdoc candidate recruitment visits; assist in group efforts to onboard all new postdocs, students, staff and interns - Correspond with various entities to coordinate the chair's speaking engagements and orchestrate the related requirements - Facilitate various special projects as assigned by the department's chair and director of administration, such as coordinating group efforts for an annual report publication - Provide planning and hands-on day-of support for donor stewardship and other special events - Other duties as assigned

- Bachelor's Degree is strongly preferred. - Masters Degree is preferred. - Proven track record working as an executive assistant in an academic setting. Must have excellent mastery of Microsoft office and complex scheduling requirements.
