Northwestern University is seeking a temporary Full-time Executive Administrative Assistant for the Evanston campus.
Temporary Job Description:
The temporary Executive Administrative Assistant position required to/responsible for the following:
Plan and coordinate external reviewer visits, including reviewer travel, catering, and scheduling meetings with various stakeholders
Coordinate meetings – including scheduling, set up and catering – for Program Review Council (PRC) and implementation meetings
Assist with communications to stakeholders; including reviewer confirmation letters and thank you letters to participants
Arrange logistics and prepare materials for unit orientations
Assist with correspondence to units regarding the review process
Track and update the status of reviews in databases and charts; assisting with follow-up communication as needed on outstanding items
Order gifts for the external and internal reviewers; organize annual reception for participants
Process reimbursements and honorariums for reviewers
Handle electronic and paper filing of review materials
Assist with annual updates of review materials
A bachelor's degree or the equivalent combination of education, training and experience;
Required Skills and Experience:
Excellent interpersonal skills and ability to interact with great polish with various populations including administrators, faculty, staff, and external visitors
Demonstrated communication (written and verbal) and analytical skills
High degree of initiative and ability to work on multiple projects simultaneously
Ability to work independently and as part of a team with minimal supervision
A sense of service, tact, and attention to detail
Ability to work calmly and effectively in high pressure situations
Ability to manage highly confidential information
Demonstrated critical thinking and problem solving skills
Experienced with Microsoft Office Word, Access, Excel, PowerPoint, and SharePoint
Preferred Skills and Experience
Prior work experience in a university setting
Experience working with executives
Experience working with NUFinancials System
MS Office suite 2013 (Word, Excel, PowerPoint, Outlook).
