Advertised Summary Job Description: Reporting to the Director for Administration and Finance, the Administrative Manager provides support for Human Resources and Academic Appointments functions in the Institute for Social and Economic Research and Policy in the Faculty of Arts and Sciences. The Institute supports faculty and student researchers in the five social science departments, the School of International and Public Affairs, and the program in Qualitative Methods in the Social Sciences.
The incumbent will serve as the liaison with A&S Human Resources and Faculty Affairs Offices to manage the employment processes, works closely with the Director to advise ISERP Researchers on qualifications for hiring, assist with drafting job descriptions, posting positions on CU employment websites, in appropriate journals, and external job board sites. S/he will support an all-inclusive approach to on-boarding activities for all Institute hires. Including the access and approval process, background checks, and communicating hiring decisions to faculty and staff. S/he will conduct interviews and makes hiring recommendations to managers. The incumbent will attend monthly HR meetings, process visa applications and renewals, assist with yearly Officer of Administration and Officer of Research recertification process, yearly performance evaluation process, vacation accrual reporting, tracking probationary periods, update organizational charts, and ensures completeness and accuracy consistent with external and internal compliance requirements. Provides guidance and counsel to employees and managers on employee relations issues and situations. Develops and manages data and reports regarding hires for the Institute. Maintains all HR records, including employee files, time and attendance records, performance evaluations, job descriptions and all job related correspondence. Provides oversight for the additional compensation approval process, serves as back up for bi-weekly payroll processing, salary distributions, and cost transfers. Other duties as assigned.
General Minimum Qualifications: Bachelor's Degree or equivalent and 2- 4 years of related experience.
Additional Specific Minimum Qualifications: Must be able to use discretion, maintain confidentiality, exercise sound and independent judgement and perform detailed work with precision. Ability to work well under pressure with short deadlines and changing priorities is needed. Must be well organized, with exceptional written and oral communication skills. Must be computer literate with strong knowledge of MS Office (Word, Excel, and Visio).
Preferred Qualifications: 2- 4 years of professional experience in higher education. Previous supervisory, managing HR functions experience, and working knowledge of University's Human Resources, administrative, labor relations and financial systems a plus.
