Advertised Summary Job Description: Reports to Dean of Student & Alumni Affairs in the School of the Arts (SOA) to administer alumni & Artists Resource Center (ARC) programs. Serves as the liaison to the University's Center for Career Services. The incumbent will help create sustained alumni engagement through communications, collaboration, & programming to foster a strong School of the Arts alumni community.
ALUMNI AFFAIRS: -Work with Dean of Student & Alumni Affairs, Faculty, Chairs & Concentration Heads to develop a vibrant & effective program of alumni activities & communications -Work with the Center for Career Education (CCE), Columbia Alumni Association (CAA), Columbia Alumni Association Arts Access (CAA Arts Access) & other central University offices to serve SOA students & alumni -Manage database of over 6,000 SOA alumni using Salesforce & Advance/Athena programs. Prepare various reports & surveys based on database information -Develop a working knowledge of Columbia University's central alumni database, central alumni communications tools, & other software as necessary -Develop & administer surveys to track alumni outcomes & career growth -Create & maintain social networking sites such as Facebook, LinkedIn, & Twitter to encourage alumni networking -Monitor SOA alumni webpage so that it remains current & updated with events, calendar, programming, resources, & news. Review & revise web & printed copy related to alumni affairs matters. Coordinate & update modifications with Office of Communications -Organize & attend regular alumni events & work with targeted alumni groups to organize special events. Develop programs & manage logistics for events, including catering & space reservations. Prepare event materials including save-the-date notices, invitations, website pages, alumni books, etc. Attend events & manage staffing activities -Collaborate with other school-based alumni & career services offices as relevant -Manage & reconcile Alumni Affairs budget -Liaise with other Columbia University offices to resolve administrative issues & problems for alumni -Work with Dean of Student & Alumni Affairs to develop alumni organization guidelines
ARTISTS' RESOURCE CENTER (ARC) AND CENTER FOR CAREER EDUCATION (CCE): -Serve as the liaison between the School's Programs in Writing, Film, Theater & Visual Arts & the University's Center for Career Services -Develop & maintain Career Development page on the SOA's website & Artists' Resource Center website; manage & maintain job postings, & information on internships, grants, scholarships, residences, festivals & other career building opportunities; work to ensure that these opportunities are effectively promoted & disseminated -In consultation with each program, coordinate information sessions on a variety of job-related issues to complement, extend coursework & make visible on SOA website -Train & supervise Artists Resource Center (ARC) fellows to serve as peer counselors -Work with ARC fellows to maintain profiles on relevant arts organizations, agencies, etc -Develop network of alumni volunteers w/ expertise in particular fields to counsel students -Communicate with students & alumni on social networking sites, including LinkedIn, Facebook, & other sites as relevant -Maintain statistics & profiles on students & alumni careers & job placement. In collaboration w/ CCE, create & manage alumni employment surveys -Create & produce reports to determine usage and efficacy of programs -Work with Dean of Student & Alumni Affairs to coordinate student evaluations of each program's career services efforts
Participation in evening & weekend activities as required. Some travel may be required. Other related duties as assigned.
General Minimum Qualifications: A bachelor's degree and a minimum of three years related work experience is required.
Additional Specific Minimum Qualifications: -Strong interest and engagement in the arts. -Excellent interpersonal, organizational, and communication skills. -Ability to develop and sustain excellent working relationships with SoA faculty and the larger Columbia community is essential. -Ability to work independently in a fast paced environment on concurrent projects with frequent interruptions is essential. -Ability to exercise exceptionally good judgment, to be innovative, and to understand the importance of SoA and University governance and policy, and to work well under pressure. -Tact, discretion and ability to maintain complete confidentiality are essential. -Computer experience (word processing, database management, report servers, spreadsheets, social networking). -Ability and willingness to learn new software and systems. Some evening and weekend work is required, including attending student and alumni events.
