The Department pf Radiology in the UCSD Medical Center, UC Thornton, and Moores Cancer Center offers a comprehensive range of imaging services and advance procedures to diagnose a wide variety of conditions. Our radiology specialists have expertise in virtually every imaging area-including Body, Breast, Neuroradiology, Musculoskeletal, Cardiothoracic, Nuclear Medicine and Vascular and Interventional Radiology.
Under general supervision of the Administrative Support Supervisor, incumbent serves as Administrative Assistant to a Division within Radiology. Responsible for performing a wide variety of administrative support for the Division Chief and members of the Division.
The Administrative Assistant will be responsible for administrative transactions including independently analyzing problems and resolving business issues and providing direction and/or information as required. Provide high-level assistance through collection, maintenance, and coordination of academic personnel documentation; maintain updated electronic Curriculum Vitae, Biosketch and other documents required for the submission of the file. Assist faculty with administrative functions related to research, clinical and academic activities which may include the submission of journals, manuscripts, books and book chapters. Responsible for the coordination of the Clinical Fellowship.
Responsible for the development and coordination of calendars for assigned faculty; responsible for drafting, proofing and disseminating correspondence including letters of recommendation. Transcribes meeting minutes using medical terminology. Set up and coordinate meetings/symposiums including the design and preparation of PowerPoint presentations. Responsible for assembling travel arrangements, processing travel reimbursements, payment authorizations, and generating high and low value purchase orders on line. Perform other duties as assigned.
Proven ability to organize and meet deadlines in a timely manner, deal with changing priorities, work well under pressure, and follow multiple tasks through to completion. Skill to coordinate high volume workload with frequent interruptions and conflicting priorities.
Proven effective interpersonal and verbal communication skill with ability to clearly, courteously, and diplomatically communicate information to a diverse group of people (including University staff, faculty, fellows, and the general public) in person and on telephone in a professional manner.
Demonstrated experience managing multi-line telephone systems and with receiving and routing calls.
Demonstrated experience managing complex calendar and travel arrangements, planning meetings both on and off site.
Strong excellent writing skills with knowledge of proper grammar, style, format, and spelling.
Demonstrated typing/word processing skills to prepare correspondence, reports, and spreadsheets.
Proven strong computer skills including proficiency with MS Word, Access, Excel, PowerPoint, Internet Explorer, Adobe Acrobat, Visio, and web-based applications.
Proven experience with records management, knowledge of standard and computerized filing system. Ability to set-up and maintain filing systems for ease of retrieval by self and others.
Proven ability to research utilizing various resources to obtain information necessary to attain established objectives. Ability to assimilate information and to compile and present in a complete and cohesive manner.
Knowledge of University policies and procedures regarding purchasing, travel, and disbursements.
