Rutgers, The State University of New Jersey, is seeking a Manager for The Division of Institutional Planning & Operations (IP&O). This position reports to the Director, Integrated Work Management System (IWMS) Administration. This position manages, projects, training, and user support for the Integrated Work Management System (IWMS) that is the backbone of data for statewide/department wide work activities (assets, projects, work orders, time/labor data, etc.) and is used in strategic and capital planning decisions by the Director and management up to and including cabinet level positions. The IWMS system also feeds departmental data into the university's sub ledger system. This position has statewide responsibilities and therefore provides customer services supporting Institutional Planning & Operations (IP&O) on the New Brunswick, Newark, and Camden campuses, RBHS locations, and a wide variety of remote/offsite locations. This position is also responsible for managing various IWMS projects and initiatives.
Among the key duties of this position are the following:
Analyzes departmental and user needs and develop and deliver position appropriate training including a Certificate Program, and develop, design and deliver a variety web-based written and multimedia tools for users.
Plans, designs and develops curriculum for training and certification courses for the use of the Assetworks AiM system to meet the specific needs of the IP&O division.
Facilitates training courses and develops user tools (including multimedia formats) that will be available via the departmental website for staff.
Schedules and oversees the scheduling of training courses.
Develops and manages a help desk for user inquiries and issues.
Ensures training modules are provided to the appropriate staff levels.
Designs, develops and revises divisional standard operating procedures for the IWMS for recommendation to the AiM Administrator and Committee.
Assesses divisional needs, staff competency and system effectiveness and updates training and tools to meet those needs.
Collaborates with other units of the department on system and training issues.
Establishes a help desk to support division-wide staff and resolve user problems.
Determines and facilitates the appropriate level of access and security for departmental staff.
Provides customized customer support as needed.
Manages a variety of IWMS projects ranging from database modifications to new system implementations.
Develops and prepares ad hoc and custom reports, as well as reporting tools to be used by various units/levels of the division.
Provides support to Director and upper level and cabinet level management in providing data necessary to make strategic decisions regarding long term strategic goals, process improvement, cost savings, etc.
Performs other duties and special projects as requested for departmental and unit needs, as assigned by Director.
Minimum Education and Experience:
Requires a Bachelor's degree Business Administration, Communications, Computer Science or Information Technology and/or related field or combination of education and/or experience may be substituted for the degree requirement.
Requires a minimum of five years of experience, user training and technical support services.
Required Knowledge, Skills, and Abilities:
Strong communication, oral, written, and technical writing skills are required.
Requires proficiency in an Integrated Work Management system, preferably the Assetworks AiM System.
Travel to and from the Camden, Newark, and New Brunswick campus will be required to facilitate the training of IPO divisional staff who are located on those respective campuses.
