Conduct a variety of essential projects for the Division's alumni relations and development efforts including: prospect management and tracking; donor relations; stewardship; database management; event planning and staffing; and communications directed at alumni, volunteers and friends. Provide support for the semi-annual programs of the Visiting Committee as required. Conduct post-event debriefings, documenting results and ensuring any necessary follow-up.
Provide strategic planning and administrative support to manager and team. Track and update activity with top prospects, manage the active management program, and ensure solicitations are up-to-date. Enter and update notes on engagement and cultivation activities, meetings and interactions. Assist in writing and editing correspondence.
Assist with giving report production, mailings and data management. Represent the development interests of the Division in project groups as required. Collaborate with various teams on communications, events and programming. Link current donors and friends with divisional events such as lectures, symposia, conferences and public forums.
Manage the stewardship and acknowledgment process for principal, leadership and major gifts to the Division. Maintain a consistent and timely cycle of regular, custom and ad hoc reporting to donors. Build relationships with faculty and staff that spend these funds. Track funds and be accountable for consistent stewardship for every donor to the Division. Organize stewardship events and meetings.
Act as the Griffin database "power user" and in-house expert with an emphasis on extracting and analyzing data. Maintain visit records as well as prepare custom and ad hoc reports, spreadsheets, graphs and charts. Assist in preparing briefings for events and individual meetings. Manage the briefing process by working directly with fundraisers, prospect research staff and other colleagues university-wide. Manage project timeline for briefing requests and delivery.
Plan all Visiting Committee events and oversee all aspects of their execution. Provide planning and support for the semi-annual programs of the Visiting Committee and its subcommittees. Convene and lead programming meetings with faculty and senior staff.
Collaborate with leadership in the creation, planning, implementation and follow up for local and regional events for prospective and current donors of the Division. Track event outcomes as they relate to giving and engagement. Collaborate with colleagues University-wide to identify new prospects and track the prospect pool.
Work with management, as required, on communication programs for the Division including the PSD newsletter, Inquiry. Manage the preparation, posting and upkeep of online information as it relates to donors and alumni of the Division. Assist in the PSD Annual Giving campaign strategy and story content.
Develop and maintain a working knowledge of the academic activities of the Division and its faculty. Participate in activities that will increase knowledge of the Physical Sciences and the University and lead to an increased ability to support the Visiting Committee and the Division's fundraising programs. Assist with general fundraising activities as assigned.
Perform other duties as assigned. Seek opportunities for professional development that will enhance job performance, including building networks within the University and with colleagues at peer institutions.
A minimum of two years of professional work experience in nonprofit management, development, alumni relations, marketing, public relations, sales or similar professional work experience required.
Demonstrated experience in planning and managing programs preferred. Experience with fundraising, contact management or other database software preferred. Experience working with volunteers preferred. Experience planning and executing events preferred.
Applicants must be currently authorized to work permanently in the United States. A current resident of the Chicago area or willing to relocate to the Chicago area required. Valid United States driver's license required.
Strong verbal and writing skills, high attention to detail and follow-up, and excellent organizational skills required. Ability to manage confidential information with discretion and tact required. Demonstrated skill and knowledge of, or ability to learn quickly, the internal workings of the University as well as the technology tools available to the Office of Alumni Relations and Development, including Griffin (the University's Donor Relationship Management System), a Microsoft Windows computer environment, Microsoft Outlook, Word, Excel, PowerPoint, Access and SharePoint required. Strong leadership qualities, including the ability both to delegate and to execute, thereby leading by word and by example required. Ability to work collegially and collaboratively in a team setting required; an exceptional work ethic and track record of personal initiative required. Must be flexible and adaptable to new programs in an emerging and changing environment required. Willingness and ability to travel to campus and/or non-campus locations for University business required. Willingness and ability to work evenings and weekends required. Dress code is business or business casual attire.
Understanding of the University of Chicago, its history, organization and modus operandi preferred.
