The Department of Economics has an opening for a talented Program Assistant, who enjoys working with graduate and undergraduate students. The position is a 10-month, continuing, benefits-eligible position. It starts September and goes through June, with 2 months, July and August, as a layoff. Benefits continue during the layoff months. The program assistant is the primary contact for the Introductory Economics Center, which manages the teaching of Economics 1 to undergraduates. The primary responsibilities are to provide support to the faculty member in charge of teaching Economics 1, to the Associate Director, and to the TAs. These responsibilities repeat quarterly. They include:
room scheduling (for lecture and TA sections, weekly staff meetings, examinations, and special academic events)
daily email communication with faculty, Associate Director, teaching assistants, and enrolled students
ordering textbooks through Stanford Bookstore
reserving course material through Stanford Libraries
coordinating with the Office of Accessible Education for classroom and exam accommodations for disabled students
communications with the Registrars Office regarding time schedule for classes
coordinating classroom video recordings and mid-quarter teaching evaluations with the Center for Teaching and Learning
grade entry and record-keeping (coordinating exam-scoring and regrades)
generating, organizing, and photocopying documents (handouts, examinations)
coordinating in-class examinations (including off-campus exams by e-mail or fax)
maintenance of course websites (posting assignments, lecture slides, and other documents on Canvas
teaching assistant payroll
arranging catering for weekly staff meetings and special events
assisting other lecturers teaching undergraduate courses when requested
In addition to the day-to-day responsibilities the individual will assist the department as requested, in support of the undergraduate academic program.
Respond to inquiries, and determine and take appropriate action as required. Serve as a resource regarding a defined set of policies and procedures.
Perform duties associated with scheduling, organizing, and operating conferences, seminars, and events, including recommending vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors.
Draft and/or generate routine communications; coordinate production (formatting, copying, etc.) and dissemination of documents, such as presentations, course handouts, grant proposals, conference and seminar materials, complex reports, brochures, and displays.
Plan and schedule calendar(s) based on consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
Process and monitor routine financial transactions, which may include researching and resolving discrepancies.
Maintain office supplies and equipment; obtain vendor quotations, as needed. Coordinate office moves.
May serve as the point of contact for general maintenance, health and safety, and other facility concerns within the unit(s); report any incidents or potential safety problems to appropriate representatives. Track completion of required training.
Maintain approved content on websites.
May perform human resources transactional support, e.g. time cards, I9s, and/or faculty affairs support.
May guide and train student and/or contingent workers including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, and reviewing work for quality and timeliness.

Education & Experience:
High school diploma and three years of administrative experience, or combination of education and relevant experience. Minimum of three years administrative experience preferred.
