As the Special Events Manager, you are responsible for planning and executing all special events including, but not limited to, bowling fundraiser, Casino night, golf tournament, and gala event to generate revenue for the organization. Promotes and markets events; solicits sponsorships and attendees; oversees sourcing of event services and supplies, negotiates contracts and coordinates with outside vendors; and directs the work of event staff and volunteers; attends events to coordinate activities and ensure the event runs smoothly; works within a prescribed schedule and budget and tracks expense and income data for each event. Solicits and supports third party fundraisers or indirect promotions.
Plan all aspects of fundraising events, including contacting sponsors and vendors to support the event and soliciting volunteers to help with the event preparation and implementation
Manage all tasks successfully adhering to established timelines
Secure and manage event venues, set-up, catering, equipment arrangements (e. audio-visual, permits, entertainment, gifts, etc.)
In concert with development staff, secure sponsorships, recruit event attendees, solicit items for silent/live auction and raffles and in-kind donations for all events
Work with the CEO and the Director of Development to ensure appropriate communication, engagement and acknowledgement with sponsors and donors
Recruit, cultivate, train and acknowledge volunteers for all events
Manage design and distribution of collateral material for special events; i.e. sponsorship packets, all sponsorship correspondence, save the date, invitations, event programs, signage and other event-related materials
Track sponsorships sold, tickets purchased and all expenses
Create printed materials related to registration/check-in including guest list(s)
Design live/silent auction packaging and assist in the development of auction catalogs, bid sheets for live/silent auctions and other promotional material.
Maintain information about event attendees, sponsors, in-kind donors in database
Assist in the preparation of all post-event correspondence including thank you notes to sponsors, attendees, donors, volunteers and committee members
BA/BS Degree, preferably in related field such as marketing
Three or more years of special events experience in the nonprofit sector, with demonstrated ability to successfully execute event fund-raising projects
Experience with graphic design and social media highly desired
Strong interpersonal skills
Proven organizational and project management skills
Excellent verbal, written, and interpersonal communication skills
Ability to accomplish projects with little supervision
Demonstrated competence with Microsoft Office applications and fundraising tools
Valid CA Driver’s License, clean driving record, and current auto insurance
The physical activity of this position may include minimal lifting, bending, walking, kneeling, reaching, and step climbing
