The Clinical Operations Supervisor provides supervision, leadership, expert guidance, and training to the clinic support staff, including PAS Specialists, PAS Resource Specialists, LPN, and MAs. The Supervisor manages interviewing, recruiting, training, supervising, and evaluating all clinic support staff. This position is responsible for managing the clinic flow for the Division of Arthritis and Rheumatic Diseases. The Supervisor will represent the Clinic, Division and Department of Medicine in OPEx, process improvement, and quality improvement meetings, along with any other appropriate clinic-related meetings as needed, and will ensure implementation and alignment of all processes related to these meetings within the Clinic in accordance with Division, Department of Medicine, and OHSU standardized guidelines. The Supervisor will ensure adherence to OHSU policies and procedures for the Clinic, including the Joint Commission standards. This position will facilitate daily readiness huddles with the clinic staff and manage Bridge submissions. The Supervisor will also participate in the Ambulatory daily mid-tier huddle.
The Supervisor will share responsibility in, and help impact, optimizing Press Ganey scores, achieving institutional patient access objectives, and providing feedback to the Department on quarterly Faculty Practice Plan Scorecard metrics.
This position will manage and assist directly with the processing of incoming referrals (internal and external), ensuring they are prepared for medical review, entered into the EPIC system, that the referrals contain complete information, and that follow-up is done (new patients scheduled or additional information requested from referring office if needed).
As Supervisor, the employee will be responsible for general clinic, operational and facility management duties including, but not limited to, the following: staff timekeeping, tracking and approving clinic supply orders submitted by clinic staff, managing patient issues and concerns as needed, acting as a resource for staff regarding HR issues and concerns, and providing periodic coverage when clinic staff are unavailable. The Supervisor will provide the Division Coordinator, Practice Manager & Department with budget information regarding clinical operations.
High school diploma/equivalent
3 years of clinical office experience
2 years of direct patient customer service
Experience with managed care, patient scheduling, and multi-line phones
Ability to work with EPIC or similar electronic health record system
Ability to work with Oracle or similar software system
Electronic timekeeping experience (e.g. Kronos)
Knowledge of and ability to operate within the MS Office Suite (intermediate skill set)
Previous experience managing clinic work flows and multi-line phones
Previous experience supervising employees, ideally in a clinic or healthcare environment
Previous experience with OPEx or similar LEAN quality improvement process
