The Senior Assistant Director, Gift Operations is responsible for the day-to-day management of the gift processing function at Babson College. Responsibilities include oversight of key tasks such as gift processing, receipting, pledge management, and management of the matching gift program; and serving as the primary liaison to the Finance Department and internal and external auditors disseminating gift and pledge related information relating to forecasting and reconciliation.
• Direct the daily activities of a fast paced and demanding data processing office and team, ensuring that data is entered accurately and in a timely fashion. • Process donor gifts, receipts, pledge reminders and event registration. • Develop and implement best practices related to capturing biographical and gift processing information; proactively identifies opportunities to consolidate work, centralize, automate, and increase accuracy. • Serve as department resource for planned gifts which includes preparing illustrations and agreements, collaborating with Babson's fund administrators, and ensuring planned gifts are appropriately recorded and recognized according to CASE and Babson College guidelines. • Work closely with colleagues to ensure effective and streamlined processes across functions linking database analytics, finance and gift administration, and relationship management. • Develop and internally communicate annual operating plan for maintaining donor information. • Manage matching gift acquisitions. • Develop, document, and implement policies and procedures related to gift and pledge acceptance and processing, receipting, restricted gifts, pledges, write-offs, and non-cash gifts including retaining all gift and pledge related documentation (Babson's receipt of gift to storing documentation); interpret policies and procedures on all aspects of gift and pledge processing; and ensure checks and balances in the process. • Perform weekly, monthly and annual reconciliations, working with Financial Services, to ensure that charitable donations tie to the financial statements; manage and prepare financial data and reports for fiscal year end. • Establish the audit schedule and ensure that key Advancement Services staff are meeting the colleges audit and financial deadlines and obligations; ensure all financial year end data is archived and maintained. • Maintain laser fiche scanning and streamline workflow. • Manage multi-year and annual pledges by generating pledge reminders on a regular basis; coordinate with respective gift officers; and forecast expected cash flow. • Ensure adherence to IRS and Council for the Advancement and Support of Education (CASE) guidelines regarding gift and pledge acceptance and receipting; research best practices and stay current on industry standards related to gift processing; and develop and implement changes as needed to stay in compliance. • Create and maintain gift related records in database; collaborate with colleagues to determine annual appeal coding, new funds, and other fields. • Train team members on gift processing policies and procedures to ensure gifts are accurately managed and educate Development staff on respective procedures. • Effectively use technology to meet or exceed targets for gift processing to while maintaining quality standards; develop new processes or systems that serve to increase the accuracy and integrity of gift information. • Monitor and manage outstanding pledge receivables and collaborate with Prospect Managers regarding expectancy. • Generate pipeline reports for cash and revenue forecasting for finance • Assume additional responsibilities as required. Additional Experience, Skills and Abilities: • Must remain current with best practices and industry standards regarding gift processing • Prefer previous experience in higher education • Prefer experience in finance
