Description Overview – responsible for the financial stewardship of the Library system ensuring that all transactions are recorded accurately and are in compliance with applicable university and departmental policies. The SkyVU FUM requires a deep understanding of the operations and financial landscape of the unit as well as institutional financial policies and procedures. This individual will also serve as backup to the HCM Specialist role. Key contact point for one cards and travel system-wide, expenditure reconciliations, HR data analysis, inventory contact point and assessment reports for HR related data. Key Functions and Expected Performances: Approves all financial transactions for assigned financial unit(s) in the SkyVU systems, including procurement requisitions, travel and entertainment expense reports and procurement card expense reports. Prepares general ledger journal entries on behalf of assigned financial unit(s). Maintains an extensive understanding of SkyVU financial systems. Maintains an extensive understanding of the institution's chart of accounts and departmental use of optional segments and Project Portfolio Management (PPM) POET structure. Maintains extensive understanding of institutional and departmental travel, expense and procurement card policies. Maintains extensive understanding of sponsored projects accounting and expenditure regulations, where applicable. Uses excellent professional judgment and integrity to evaluate the appropriateness of expenditures and possesses the maturity and confidence to address questionable transactions either directly or escalate if needed. Uses high attention to detail to ensure every component of a requisition or expense report is accurate prior to approval. Reconciles transactions in eDog and BI Launch: performs variance analyses to determine spending patterns and identify budget problems before they arise. Prepare audit reports, inventory reports, and annual statistical reports as requested by VU administration. Work with the Chief Business Officer to assemble the annual budget and presentation materials. Builds and maintains strong working relationships in the area and with centralized Finance team members. Establishes, communicates, and modifies departmental processes in response to changes in university and/or SkyVU policies and procedures. Expected to serve as the key trainer throughout the library organization on SkyVU systems and processes. Participates in recurring meetings, trainings and round table discussions to allow opportunities for SkyVU Financial Unit Managers across campus to learn from each other. As the FUM, this individual has access to the Library's confidential human resources files and prepares reports/information on HR statistics as requested through Business Objects database queries. Reviews and approves all new hire data for staff and student employment. Assists with analysis, processing and information flow related to annual performance evaluations. Manage all invoices and billings related to copyright clearance center on campus. Invoice other schools on campus who generate charges through classpak orders, ereserves, or SIPX copyright clearance. Analyze and streamline business processes in this and other library operating processes. Deadline oriented, tech savvy and adapts easily to changes in technology and process. Other miscellaneous administrative, financial and HR related tasks as assigned. Preferred Education, Skills, and Experiences: Minimum Bachelor's Degree in business or a related field three years financial management experience. Expert Excel, Word and Power Point skills. Prefer experience in a library or multi location operation. Experience with SkyVU, PeopleSoft or similar ERP systems. Familiarity with Vanderbilt Policies and Procedures is a plus.
