They will handle highly confidential information with complete discretion. This role will be 20% traditional senior administrative assistant job duties and 80% supporting team activities and projects. Primary Responsibilities: Manage calendars and coordinate meetings an changes avoiding scheduling conflictsMake and coordinate travel arrangements, both domestic and international, for meeting attendeesPrepare and submit expense reportsInteract and establish relationships with individuals at all levels of the organization, supporting in an office management capacity and supporting indirect teamsPerform Business Segment Liaison (BSL) activities as needed for onboarding and current needsSchedule, coordinate, and set-up resources and technology needed for meetings and events, e.g., conference rooms, catering, WebEx, telepresence Host, coordinate, and/or facilitate meetings / external events as needed Ensure meeting participants have appropriate access to facilities and systemsPlan and organize logistics of large and/or offsite eventsEnter and submit purchase orders into relevant systems (e.g., ARIBA) to purchase office supplies from pre-approved vendorsManage / monitor / procure office supplies, goods and services Collaborate with facilities management regarding potential changes/improvements to the office environmentDemonstrate understanding of applicable business departments' operations, drivers, and/or proceduresCreate and prepare meeting materials (e.g. PowerPoint decks; agendas; meeting minutes) and ensure distribution to appropriate individuals in a timely mannerCompile and/or integrate information needed to complete reports and documents Review documents to ensure accuracy and quality, and revise as neededManage office documents in accordance with enterprise records management proceduresProvide coverage (e.g. phone; email; reception) for internal team members as neededEvaluate emails, meetings and calls of importance and use independent judgment to take actionIndependently perform varied administrative duties related to functional areasGreet visiting clients, guests and employeesRead incoming mail and triage in priority order, highlighting important items or requests for actionMaintain and/or communicate sensitive and/or confidential information in accordance with internal policies and procedures
Required Qualifications: High school diploma or equivalent5 or more years of experience as an administrative assistantExperience supporting multiple executives within a fast-pace and changing environmentIntermediate or better level of proficiency with MS Office applications, specifically Word, PowerPoint, Excel and SharePointExperience coordinating large meetings, including WebEx virtual meetings and teleconferencesPreferred Qualifications: College degree Soft Skills:Ability to manage multiple tasks / projects and deadlines simultaneously with attention to detailExcellent time management and organizational skills balancing multiple prioritiesAbility to work in a large, matrixed corporate environmentProven ability to build relationships cross-functionally and lead toward common goalsExcellent verbal and written communication and grammatical skillsDemonstrated experience in preparing senior-level presentations and reportsMust have a polished demeanor and be comfortable working with people at all levels Takes accountability and ownership of tasks, performance standards and quality results Careers with Optum.
