The American Association of Endodontists (AAE) is dedicated to the excellence in the art and science of endodontics and to the highest standard of patient care. The Association inspires its members to pursue professional advancement and personal fulfillment through education, research, advocacy, leadership, communication, and service.
The AAE is currently seeking a Meeting Services Manager to join our team. This is a key role that maintains financial records for the AAE and the AAE Foundation.
Manages logistics for all Association meetings and events including annual meeting for approximately 4,000 attendees across several different venues including hotels and convention center.
Assists with meeting and event budget development.
Assigns meeting rooms for educational programs, committee meetings, general sessions, and any other ancillary events.
Ensures all meeting vendors are providing accurate, timely, and effective support.
Prepares and distributes all event specifications for the annual meeting and other meetings as assigned.
Travels to meeting sites for pre-planning activities as required.
Attends pre-con meetings and other planning meetings at hotels and facilities.
Assists with site selection process for event venues and hotels.
Provides support to the Assistant Executive Director for Meeting Services on the development and implementation of technology to enhance meetings management performance, tracks the many details of planning a meeting, onsite responsibilities, and production of reports.
Maintains strong communications with staff, the planning committee, and other stakeholders.

What we seek:
Related Bachelor’s degree or equivalent, related experience.
At least 5 years of related experience in membership association non-profit meeting planning.
Experience with association management systems, event management software, and registration applications.
Certified Meeting Professional (CMP) preferred but not required.
Must be organized, detail-oriented, flexible, and able to plan to meet deadlines.
Ability to manage multiple tasks in a fast-paced environment and possesses excellent time management and prioritization skills.
Ability to problem-solve and make on-the-spot decisions.
Excellent oral and written communications skills.
Proficiency with database management and reporting.
Proficiency with meeting related technology and advanced skills with Microsoft Office applications, including Word, Excel and PowerPoint.
