The Gift Processing Specialist reports to the Assistant Director, Gift Processing and is responsible for processing gifts to the University, which are received in various forms from various sources and are processed and distributed to various designations. Responsibilities include scrutinizing all gifts, including matching corporate gifts, for proper processing, posting pledges and payments, and reconciling and balancing gift batches; captures, processes and archives credit card transactions resulting from UA telemarketing program and from fundraising websites and contacts donors regarding issues, including declined credit cards; creates donor records when needed to facilitate gift processing; archives all gift information by computerized scanning and filing; uses various reports and information from databases for review and correction and pays particular attention to detail and accounting principles that are essential to process gifts according to donor intentions in a timely and accurate manner that is mandated by professional and legal . During the crucial calendar year-end period, Gift Processing staff often work on days when the University is closed in order to process and acknowledge gifts according to legally specified time limits. During the fiscal year-end, another demanding time of the work year, vacations and scheduled time off are not usually granted (May through mid-June).

This position requires a High School diploma and a minimum of two to three years of increasingly responsible experience working with financial and accounting data. Also, must have knowledge of accounting basics; a respect for donor confidentiality, attention to detail and accuracy, an ability to work independently, very good verbal and written communications skills, strong interpersonal and organizational skills, familiarity with and an aptitude for computerized data input, including a working knowledge of PC computers, the MS Office Suite, FileMaker Pro database files, E-mail and Internet access and accurate typing of 30 wpm. Dependability is essential in order to maintain consistency of data input and output. Also, must be able to work during demanding times of the work year to meet obligatory deadlines at calendar year-end and fiscal year-end.
Prefer experience working in a college or university gift processing office or other not-for-profit charitable organizations where donor gifts are processed; prefer experience processing in Millennium but willing to train.
