Our Department of Intercollegiate Athletics has an outstanding opportunity for a Chief Administrative Officer.
The Chief Administrative Officer (CAO) report to the Head Men's Basketball Coach and will work directly with senior Intercollegiate Athletics (ICA) staff. The CAO is responsible for overseeing external outreach and operations for the men's basketball program as well as providing programmatic support for team needs. This position requires experience, professionalism and communication skills to establish and nurture relationships with University officials, ICA staff, alumni, and prospective student-athletes and their families, as well as current student-athletes.
Manage and oversee the strategic plan for recruiting, donor outreach, and fan support for the men's basketball program, including the thematic and creative graphic design of promotional materials, social media content, and digital content. Hire, manage, and evaluate a Men's Basketball Recruiting/Graphic Designer. Collaborate with ICA Athletic Communications staff to implement the marketing plan for the program. Responsible for creating policies to govern social media usage by student-athletes and basketball program staff, as well as monitoring the social media accounts of the men's basketball student-athletes. Collaborate with ICA external relations and Tyee Club staff to develop and implement donor initiatives. Serve as a primary point of contact for men's basketball program events targeting alumni, donors, and fans; responsible for developing and managing a priority system for the distribution of the program's allocation of home and away game tickets.
Responsible for the development and implementation of internal policies, procedures, and processes for basketball travel arrangements such as team travel, recruit visits, coaches' travel, and related travel parties. This will entail research and negotiation of team hotels, charter aircraft and buses, group meals, and other travel-related services needed by the basketball program. Attention to detail and budget is paramount. The CAO must balance the needs of the team and coaches to travel efficiently and expediently with the associated costs and budget constraints.
Develop and implement promotional events for the program that will involve former players, alumni, donors, fans, and the greater Seattle community. Serve as the primary liaison for recruits and their families. Manage the scheduling of recruiting visits to the University of Washington campus. Plan and coordinate all aspects to ensure an exemplary experience and attract top level talent. This includes determining travel and hotel accommodations, setting schedules, tours, and appointments, and communication of itineraries and agendas.
Work in collaboration with the Director of Operations for Men's Basketball on matters involving team scheduling. Support team communications with platforms such as email, text, and GroupMe.
Research and provide information related to relevant current events and trends such as articles, studies, or surveys, which will support the work of the basketball program staff. This position may be assigned other duties and responsibilities by the Head Coach or the Director of Athletics.
Compliance with the rules and regulations of the University, the NCAA, the Pac-12 Conference, the State of Washington and any other governing body is of paramount importance to the University. The overall responsibility of this position is for the successful operation of the program in full compliance with all such rules and regulations. As a condition of employment, the Employee shall be required to participate in rules education programs offered by the Department of Intercollegiate Athletics.
Requirements: Bachelor's degree, master's preferred, in sports management or related fields and a minimum of four years of relevant experience with men's basketball programs at an NCAA Division I institution. Proficient computer experience with common office software as well as recruiting software programs, while being comfortable with technological advances. Must be team-oriented, self-motivated and a hard worker with excellent communication skills and a positive attitude. Proficiency with NCAA rules and experience working with confidential and sensitive information is critical. Must be willing and able to work evenings and weekends throughout the year. Flexibility in scheduling vacation and other time off is a necessity as there are certain times of the year that are particularly labor-intensive.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
