Manages workflow of the Office of the VP for Information Technology and Chief Information Officer (CIO). Act as a key liaison for internal and external customers. Initiates, plans and implements services and program provided for by this office. Assist the CIO in designated areas and, whenever possible, relieves them of as many administrative duties as possible.
30% - Essential - ADMINISTRATIVE OPERATIONS: Track and maintain summary of action items and deliverables for CIO; coordinates and prioritizes flow of work. Ensures tasks are assigned and completed. Maintains highest level of discretion in dealing with sensitive situations. Exercises sound judgement and counsel.Prepare materials and agendas for meetings (department, internal, and external). Attend meetings as directed by VP and record/transcribe minutes at their discretion. Maintain appropriate filing system for minutes and ensure staff have access to them.
30% - Essential - CALENDAR AND TRAVEL COORDINATION: Strategically manages the CIO's calendar, including medium and long-range planning and making priority decisions by balancing urgency of requests with the need to strategically deploy the CIO's time. Evaluates requests and makes scheduling priority judgments. Initiates travel arrangements including airline and hotel reservations and meeting registrations. Contact vendors to coordinate travel within the plans of various seminar arrangements. Prepare and submit expense reports for VP.
25% - Essential - OFFICE AND PROJECT MANAGEMENT: Coordinate & assist in special events as required. Participate in committees to plan date, speakers, location, travel arrangements, and plan refreshments and/or meals. Assists with coordination of special projects and initiatives across CCIT operations. Serve as additional hostess/contact for socials, classes, and activities as directed by the executive staff. Screen telephone calls as directed. Sort and open departmental mail as directed. Prepare letters, memos, documents, presentations, reports and spreadsheets as needed by department. Monitor supply inventory and make orders as needed. Collaborate with University FMO to maintain facilities tasks and work order submissions.
15% - Essential - CUSTOMER SERVICE: Assist internal and external customers by directing inquires to the appropriate staff. Receives and responds to routine correspondence following established procedures not requiring management review.
A high school diploma and relevant experience in business management, public administration or administrative services. A bachelor's degree may be substituted for required work experience.
