Primary Responsibilities:Key administrative support role and team member supporting UnitedHealthcare Global leadership in dynamic and complex environments Independently perform varied administrative duties related to functional areas Prioritize meetings to schedule and coordinate respective calendars Make and coordinate travel arrangements, both domestic and international Prepare and submit expense reports Interact and establish relationships with individuals at all levels of the organization Perform Business Segment Liaison (BSL) tasks for onboarding and current needs Schedule, coordinate, and set-up resources and technology needed for meetings and events, e.g., conference rooms, catering, WebEx, Telepresence Partner with admin/executive admin assistants to support meetings, offsite leadership meetings, Monthly Business Review meetings, and other Leadership meeting coordination Partner with admin assistants to optimize meeting times Ensure meeting participants have appropriate access to facilities and systems Plan and organize logistics of large events both on/offsite Enter and submit purchase orders into relevant systems (e.g., ARIBA) to purchase office supplies from pre-approved vendors Manage / monitor / procure office supplies Collaborate with facilities management regarding potential changes/improvements to the office environment Demonstrate understanding of applicable business departments' operations, drivers, and/or procedures Create and prepare meeting materials (e.g. PowerPoint decks; agendas; meeting minutes) and ensure distribution to appropriate individuals in a timely manner Compile and/or integrate information needed to complete reports and documents Review documents to ensure accuracy and quality, and revise as needed Manage office documents in accordance with enterprise records management procedures Provide coverage (e.g. phone; email; reception) for internal team members as needed Evaluate emails, meetings and calls of importance and use independent judgment to take action Greet visiting clients, guests and employees Maintain and/or communicate sensitive and/or confidential information in accordance with internal policies and procedures
Required Qualifications:HS Diploma or GED or equivalent experience 2+ years of experience providing administrative support to an executive at the Director level or above Experience using Microsoft Word to create and edit documents from scratch Experience using Microsoft PowerPoint to create and edit professional presentations Experience using Microsoft Excel to create spreadsheets including editing, filtering, and manipulating data Experience using Microsoft Outlook to manage complex calendars Experience using WebEx to arrange and present virtual meetings Experience working in a role where a high level of confidentiality and sensitivity to information is requiredPreferred Qualifications5+ years of administrative support experience 2+ years of experience working in a large, fast-paced, corporate environment Experience providing administrative support to 3 or more leadersCareers with UnitedHealthcare.
